Accounts Payable & Payroll Specialist

Responsibilities
Manage the accounts payable ensuring timely approval and payment of invoices
Manage the corporate card and expense reimbursements, ensuring proper documentation and approval
Review AP Aging report and reconcile open payables at month-end
Reconcile vendor statements and resolve discrepancies promptly
Maintain organized and accurate AP records and supporting documentation
Collect and maintain vendor Form W-9 and prepare Form 1099s at year-end
Process and analyze payroll data for hourly employees, faculty and student workers, to produce accurate and timely payroll
Maintain confidential employee records, including wages, deductions, benefits, PTO and tax information
Ensure compliance with federal, state, and local payroll laws and regulations
Resolve payroll discrepancies and respond to employee payroll inquiries in a timely manner
Ensure timely deposits of employee paycheck deductions, such as union dues
Crosstrain as backup to the Sr Accountant & Payroll Specialist for payroll and related duties
Assist with month-end and year-end closing activities
Prepare monthly Work Study reports and record necessary FWS-IWS journal entries
Support audits by providing payroll and AP documentation
Handle ad hoc financial reports and related duties as requested
Qualification
Required
Bachelor's degree, preferably in Accounting or Finance
1-3 years of experience in accounts payable and/or payroll processing
Experience with accounting and/or payroll systems such as Paycom, ADP, or Great Plains is a plus
Proficiency in Microsoft Excel, with a solid working knowledge of spreadsheets and basic functions
High degree of integrity, strong work ethics and attention to details
Ability to organize and prioritize assignments in a multi-task environment
Ability to handle confidential and sensitive information with discretion
Effective communication and interpersonal skills
