Executive Assistant – LIFE Enterprises

Responsibilities
Execute time-sensitive requests while collaborating with the broader operations and EA team
Maintain awareness of the CEO’s priorities, schedule, and active commitments to support accurate, informed execution
Support a multifaceted executive portfolio spanning coaching, media and podcast production, events, partnerships, travel, products, and more
Coordinate closely with cross-functional teams to ensure accurate scheduling, preparation, and execution across all executive commitments
Assist with contract tracking, invoices, expense reports, and administrative follow-ups as needed
Handle time-sensitive and confidential information with discretion and care
Monitor, triage, prioritize, and execute requests from the shared EA inbox, ensuring all items are handled accurately and timely
Maintain timely, professional communication with internal teams and external contacts
Document actions taken and provide clear handoffs to ensure continuity with daytime operations
Own day-to-day accuracy of a highly dynamic executive calendar, serving as a reliable source of truth across all commitments
Coordinate closely with coaching, podcast, partnerships, and operations teams to align scheduling, dependencies, preparation, and logistics
Manage calendar changes, holds, and conflict resolution across multiple workstreams, meetings, engagements, and domestic and international travel
Support real-time scheduling needs during travel, events, and time-sensitive situations
Manage trip planner and itineraries to track complete travel details
Research and organize domestic and international travel, including booking flights, accommodations, and ground transportation
Collaborate with internal teams on travel-driven initiatives, such as podcast tours and partnerships
Provide real-time support during travel, handling last-minute changes and urgent needs
Interface with various internal teams, partners, vendors, clients, and personal contacts with professionalism and clarity
Collaborate with internal teams to ensure alignment, visibility, and seamless execution
Support personal requests, logistics, and travel as needed
Qualification
Required
Exceptional organization, attention to detail, and follow-through
Excellent, clear communication, skilled in both synchronous and asynchronous communication
Experience working on a remote, distributed team
Self-driven and proactive, you don't wait to be told what needs to be done, and follow-up is instinctive
Ability to protect priorities and maintain focus for executive leadership
Strong judgment and discretion with sensitive, confidential information
Ability to operate independently while collaborating closely with the EA team and wider internal team
Ability to deal tactfully and professionally with high-level executives and other high-profile individuals
Confident using tools such as Asana, Notion, Slack, G-Suite, and shared calendars
Comfortable working outside of standard business hours
Demonstrate openness to new tools and workflows, with an understanding of how information and automations flow across systems
Preferred
Experience with design software like Canva or InDesign is a plus
