Admissions Coordinator
Adolescent Wellness Academy is seeking a highly responsive, people-centered Admissions Coordinator to serve as the first point of contact for individuals and families seeking care. This role involves blending customer service, sales, and behavioral health exposure while guiding conversations with empathy and professionalism during the admissions process.

Responsibilities
Serve as the first voice and first impression for incoming calls, emails, and inquiries
Handle a high volume of inbound calls (often 60–80 per day) with warmth, focus, and efficiency
Engage prospective clients, families, and referral partners using strong customer service and sales skills
Ask thoughtful, direct questions to gather information while remaining empathetic and client-focused
Navigate difficult conversations, including crisis-related calls and emotionally charged situations
Educate callers on next steps, scheduling assessments, tours, and intakes
Maintain quick turnaround times and responsiveness on calls, emails, and follow-ups
Accurately document inquiries and admissions activity in CRM/EMR systems
Collaborate closely with clinical, admissions, and support teams to ensure continuity of care
Support outreach initiatives and referral relationship efforts as needed
Qualification
Required
Prior experience in customer service, sales, call centers, hospitality, or client-facing roles
Confidence building rapport quickly, guiding conversations, and managing objections or concerns
Highly organized, detail-oriented, and able to manage multiple conversations simultaneously
Technology-savvy with comfort using CRMs, EMRs, and Microsoft Office tools
Calm, grounded, and emotionally steady in high-pressure situations
Quick to respond, proactive in follow-up, and accountable to timelines
Collaborative team player with a genuine passion for recovery and helping people
Preferred
Experience in behavioral health, healthcare, admissions, recovery, or crisis-adjacent settings
Comfort discussing substance use, treatment options, and insurance basics
Spanish fluency
Familiarity with the local treatment landscape and referral partners
Willingness to grow into outreach or expanded admissions responsibilities
