They are seeking a highly motivated Senior Administrative Staff Coordinator to provide office management support to the Engineering & Digital Technologies Executive Finance Director, managing day-to-day activities and facilitating communication across teams.

Responsibilities

Manage calendars and regularly set-up, coordinate, and disburse meeting materials. Proactively anticipate and schedule walk-ups for meetings. Ensure that meeting materials are disbursed timely and archived on R-share site
Preparation of travel reservations, travel agendas, offsite meetings and events, and expense statements
Personnel onboarding and move support including requisitioning supplies, coordination with IT Services, and initiation of HR and supervisor updates
Meeting set-up, room scheduling, coordination, and materials disbursement across multiple sites utilizing various types of equipment and software. Order and expense catering when necessary
Networking Team lead to provide virtual networking and employee engagement events to our geographically dispersed team
Proactively recommend system efficiencies to achieve organizational goals
Effectively manage under time constraints, in a fast-paced work environment, and multi-task
Be a self-starter, detail-oriented, technically savvy, and possess excellent organizational skills
Display a high level of professionalism and the ability to maintain discretion and confidentiality of information
Some travel between sites may be required (quarterly)

Required

Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience
Experience with Microsoft Office suite
Previous experience as an administrative assistant and/or related role

Strong analytical, problem solving and decision-making skills
Excellent attention to detail and accuracy
