Responsibilities
Document Management & Coordination: Efficiently gather, organize, and maintain project-specific documents such as floorplans, design drawings, and related files. Create and update project folders, ensuring all materials are accessible and current to support the design team’s workflow
Data Collection & Performance Tracking: Utilize Excel and other Office 365 tools to export, filter, and analyze project metrics—including design totals, item delays, and performance indicators. Generate accurate reports that highlight project progress, bottlenecks, and areas for improvement to support informed decision-making
Operational Support & Communication: Serve as the main point of contact for routing design queries, resolving missing elements, and implementing design changes in collaboration with internal teams. Manage email communications and tasks efficiently within Office 365 to ensure clarity and responsiveness
Team Collaboration & Meetings: Actively participate in weekly team meetings, sharing updates, addressing challenges, and fostering a collaborative environment. Maintain open communication channels with the design team and other stakeholders to ensure streamlined project execution
Qualification
Required
Proficiency in Microsoft Office Suite, especially Excel (formulas, pivot tables, data analysis)
Strong organizational skills with meticulous attention to detail for document and folder management
Excellent verbal and written communication skills to facilitate collaboration across teams
Analytical mindset with the ability to interpret data and translate insights into actionable strategies
Ability to prioritize tasks effectively and maintain flexibility in a fast-paced environment
