Responsibilities

Conduct intake calls with prospective and new clients
Gather and document case-relevant information
Screen potential clients for eligibility based on firm criteria
Enter and maintain accurate client data in the case management system
Communicate with clients via phone and email to collect information for written discovery, including Plaintiff Fact Sheets
Assist clients with obtaining medical records, including guidance on patient portals
Provide case status updates and respond to inquiries in a professional and timely manner
Draft and edit client correspondence, including emails and template letters
Provide general administrative support such as scheduling, correspondence management, and file maintenance
Conduct PACER searches and online research to verify information or locate clients
Maintain organized electronic case files within the document management system

Required

Strong proficiency in Microsoft Word and Excel
Working knowledge of Adobe Acrobat
Excellent written and verbal communication skills
Professional phone presence and comfort speaking directly with clients
High level of organization and attention to detail
Ability to manage multiple priorities in a fast-paced environment
Willingness to ask questions and proactively communicate to resolve issues quickly

Preferred

Experience working in a law firm or legal environment
Paralegal experience or paralegal certificate
Bachelor's degree
Experience with legal case management software such as Smart Advocate, Litify, FileVine, or similar
Familiarity with PACER, medical records retrieval, or reviewing large medical files
