Scheduling Coordinator

Responsibilities
Own day-to-day calendar operations: manage, update and optimise multiple shared calendars and booking pipelines for internal teams and external customers
Coordinate appointments end-to-end: schedule, confirm and follow up on client and partner meetings across time zones using booking tools and video conferencing platforms
Resolve conflicts and prioritise bookings: proactively identify clashes, propose solutions, and rebook meetings to minimise downtime and maintain SLAs
Maintain accurate records: update CRM and scheduling systems with appointment details, participant notes and status changes to ensure data integrity
Generate and distribute scheduling reports: produce daily/weekly schedules, capacity snapshots and ad-hoc summaries for operations and leadership
Document and improve scheduling processes: develop SOPs, apply small process improvements, and onboard colleagues on calendar tools and best practices
