Responsibilities
Lead and support 5 front desk team members across 5 offices
Coach performance, reinforce expectations, and maintain consistency
Help train new front desk hires and tighten onboarding
Run weekly check-ins and quick accountability huddles
Ensure front desk workflows are followed correctly across all offices (check-in, check-out, scheduling, confirmations, follow-up, collections)
Identify breakdowns quickly and fix them with training + structure
Monitor patient experience quality and prevent avoidable issues
Keep staff aligned to scripts, service standards, and expectations
Track and improve front desk KPIs such as: Call answer rate + phone performance, Appointment confirmations + show rate, Schedule optimization/fill rate, Paperwork completion and compliance, Payment collection consistency and accuracy
Actively coach, correct issues early, and reinforce standards consistently
Protect the patient experience and keep operations smooth
Qualification
Required
2+ years experience leading a team (supervisor, lead, manager, office coordinator, etc.)
Strong communication (kind, professional, but firm when needed)
Organized and consistent follow-through
Comfortable holding people accountable to daily expectations
Confident using software (scheduling platforms, texting tools, spreadsheets, etc.)
Preferred
Experience in healthcare or private practice (chiropractic, PT, dental, med spa, urgent care, etc.)
Experience working with KPIs or performance standards
Experience training staff or building repeatable systems
