Director of Operations
Maine Family Services is seeking a highly experienced Director of Operations to oversee the daily operations of their Section 21 residential programs. This senior leadership role is responsible for operational oversight, regulatory compliance, admissions coordination, staffing systems, and collaboration with internal and external stakeholders.

Responsibilities
Oversee daily operations across all residential service locations
Respond to and follow up on vendor calls and service-related issues
Conduct regular field visits to ensure safety, quality, and compliance
Lead monthly house meetings and develop agendas for House Managers
Monitor occupancy, productivity, and utilization; implement corrective actions as needed
Coordinate and attend new client meet-and-greets and residential tours
Manage all new client intakes and service coordination
Develop initial daily schedules and staffing patterns for new clients
Ensure service locations are entered into KEPRO for billing purposes
Track KEPRO authorization due dates and available service units for each client
Submit and follow up on KEPRO authorizations with CRTs and Case Managers
Coordinate PCP pre-planning, Evergreen entries, and attend PCP meetings
Enter and track all Reportable Events (RES) in Evergreen
Collect and maintain RE supporting documentation in SharePoint
Participate in quarterly quality assurance and state reporting meetings
Attend and coordinate team meetings, including IST and council meetings
Maintain ongoing communication with Case Managers, Guardians, and state partners
Representing the organization at state and community stakeholder meetings as requested
Ensure confidentiality and proper handling of all client information
Participate in hiring, onboarding, and supervision of direct reports
Set performance expectations, provide coaching, and address employee matters
Ensure all direct reports have current and accurate job descriptions
Enforce organizational and human resource policies consistently
Implement and enforce operational policies, procedures, and standards
Promote risk management and workplace safety practices
Monitor program budgets and report operational concerns to leadership
Collaborate with other directors to ensure organizational alignment
Qualification
Required
Bachelor's degree in social work, healthcare administration, psychology, or a related field; Master's degree preferred
Licensed Social Worker (LSW) preferred. LCSW considered
Minimum 10 years of experience in residential or behavioral health operations, including at least 3 years in a supervisory or administrative role
Knowledge of state and federal regulations governing residential care facilities
Strong knowledge of Section 21 regulations, KEPRO, and Evergreen
Proven leadership, organizational, and problem-solving skills
Valid state driver's license required
Strong leadership and organizational skills with the ability to manage multiple programs and staff effectively
Excellent communication and interpersonal skills to engage with clients, families, staff, and external partners
Proficiency in electronic health records and standard office software
Ability to analyze data and implement quality improvement initiatives
