Clinical Operations Specialist

Upward Health is an in-home, multidisciplinary medical group providing 24/7 whole-person care. The Clinical Operations Specialist is responsible for the day-to-day administrative coordination of patient and staff workflows, ensuring accurate patient assignments and program capacity tracking.

Responsibilities

Maintain and update program capacity trackers for field staff to ensure balanced caseload distribution
Assign patients to appropriate field staff based on program guidelines and current staffing capacity
Review patient records for discharge readiness; complete and document patient discharges per process
Extract and enter data into spreadsheets and presentation decks to support program reporting (no analysis required)
Create and update presentations in PowerPoint for internal and client-facing meetings
Manage program documentation, trackers, and shared folders for accuracy and accessibility
Coordinate scheduling, reminders, and communications via Outlook to keep teams aligned
Provide general administrative support to clinical and operations leaders as needed

Required

2+ years of administrative or program coordination experience, preferably in healthcare or a related field
Proficiency in Microsoft Office Suite, particularly: Excel (data entry, pivot tables, sorting, filtering, simple formulas), PowerPoint (building clean, professional decks with charts and visuals), Outlook (managing calendars, scheduling, and email communication)
Strong attention to detail with proven ability to complete tasks accurately and on time
Highly organized with the ability to manage multiple priorities and deadlines
Excellent written and verbal communication skills
Comfortable working independently in a fast-paced, remote environment
Maintains accurate records, trackers, and documentation; ensures data entry and patient information is completed without errors
Prioritizes multiple tasks, manages deadlines, and keeps program operations running smoothly
Demonstrates strong working knowledge of Microsoft Excel (data entry, formatting, simple formulas), PowerPoint (presentation building), and Outlook (calendar and communication management)
Consistently follows through on assignments, completes tasks on time, and proactively communicates barriers
Provides clear, professional communication in written and verbal formats; collaborates effectively with field staff, clinical leaders, and operational teams
Upholds HIPAA requirements and organizational policies, protecting sensitive patient and company information
Adjusts to shifting priorities in a fast-paced environment while maintaining a calm, solutions-focused approach
Demonstrates a collaborative mindset; supports leaders and peers to achieve program and organizational goals
