Public Safety Administrative Assistant Senior

NEOGOV is seeking a Public Safety Administrative Assistant Senior to provide essential administrative and clerical support to the Public Safety - Fire Rescue Department. Responsibilities

Serve as the first point of contact by answering phones, greeting visitors, and responding to inquiries from the public, County employees, and outside agencies
Provide professional customer service, including responding to requests, resolving routine issues, and assisting with policy and procedure interpretation
Prepare, edit, and distribute correspondence, reports, forms, and other administrative documents
Schedule appointments, meetings, hearings, and travel; prepare agendas and materials; and maintain official records and minutes as needed
Maintain filing systems, databases, and accurate records; perform data entry using multiple computer applications
Assist with financial and administrative processes, including processing payments, tracking expenditures, preparing purchase requisitions, and supporting budget activities
Order office supplies, coordinate equipment maintenance, and support daily office operations
Process payroll-related documents such as time and attendance records, as assigned
Provide general administrative support to department leadership and staff and assist with coordinating routine clerical activities

Required

High school diploma or equivalent
Three (3) years of experience in clerical or administrative work, preferably in an office setting
Solid understanding of departmental policies, procedures, and office operations, or the ability to quickly learn them
Proficient in Microsoft Word, Excel, PowerPoint, and other standard office software and computer applications
Familiar with modern governmental or professional office practices, equipment, and administrative support functions
Highly organized, detail-oriented, and able to manage time effectively while balancing multiple priorities
Strong analytical, research, and problem-solving skills and can exercise sound judgment in routine situations
Communicate clearly and professionally, both verbally and in writing, with a wide range of internal and external contacts
Comfortable preparing correspondence, reports, and records with accuracy and minimal supervision
Proficient in data entry, recordkeeping, and the use of office equipment such as multi-line phone systems, scanners, copiers, and related technology
Adaptable and able to manage multiple tasks simultaneously while meeting deadlines
Provide professional guidance and customer assistance through in-person, phone, email, and written communication
Build and maintain positive working relationships with leadership, coworkers, vendors, and the public
