Group Rooms Coordinator
Hilton Nashville Downtown is seeking a Group Rooms Coordinator to oversee all aspects of group room management. This role involves ensuring seamless coordination of group arrivals and departures while maintaining high levels of guest satisfaction and adherence to brand standards.
Responsibilities
Serve as the primary leader for group block management, including block building, inventory control, billing, and pre- and post-arrival tasks
Act as the liaison between clients, the sales & catering team, and additional hotel departments to ensure accurate and timely dissemination of group information
Oversee group billing processes to ensure compliance with financial objectives and audit requirements
Maintain a comprehensive knowledge of the property’s operations, including demand patterns, revenue strategies, and guest loyalty programs, to enhance the group guest experience
Foster strong relationships with clients to anticipate needs and resolve concerns efficiently, promoting guest satisfaction
Ensure accurate record-keeping and maintain group booking systems for streamlined information retrieval
Other duties and responsibilities as assigned
The employee may be expected to work in other areas of the hotel when needed to assist operations to perform job duties not necessarily contained in this job description
Maintain a safe work environment for co-workers and a safe hotel for guests; please refer to Section 2.4 in the Team Member Handbook for specific examples
Qualification
Required
High school diploma or general education degree (GED)
Minimum of 1-2 years of experience in group sales, hotel operations, or a related field
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
Strong technical proficiency in hotel PMS systems (OnQ, Delphi, Passkey), and Microsoft applications
Ability to communicate, verbally, effectively with guests and co-workers; respond to guest requests
Ability to comprehend guest requests, memos, reservations, promotional materials, event orders
No special licenses or certificates required
Maintains professionalism at all times, demonstrating courtesy and respect to guests and co-workers
Must be able to walk, climb stairs
Must be able to bend, stoop, and crouch
Must use hands to reach, grasp, handle, push and pull
Must have good near and far vision
Must be able to hear, talk, smell
Must be able to lift & carry up to 30 pounds
Majority of duties are performed standing and indoors
Noise level moderate
Must complete Hilton brand required trainings
