Data Management Specialist

Responsibilities

Data Quality Assurance: Perform regular data audits across all platforms. Monitor data flows between integrated systems and proactively identify, troubleshoot, and resolve discrepancies
Report Distribution: Generate and distribute standard financial and operational reports (PHR, Benchtime, Utilization) to Producers and leadership on a routine cadence
KPI Dashboard Maintenance: Maintain and refresh KPI dashboards, ensuring accuracy, accessibility, and consistency for key stakeholders
Data Entry & Maintenance: Input and update project data across systems including Juro, Kantata, Sage, and Namely, ensuring accuracy, consistency, and completeness
ERP Implementation Support: Assist in implementation, configuration, and deployment of ERP ecosystem tools (Juro, Kantata, Sage, Namely) working closely with the Head of Operations
System Optimization: Identify and recommend improvements to system configurations, workflows, and integrations based on observed inefficiencies
Integration Testing: Conduct testing on system integrations and data flows to ensure seamless communication between ERP components
User Acceptance Testing: Participate in UAT for updates, new features, and configuration changes—providing detailed, actionable feedback
System Documentation: Maintain updated documentation of configurations, workflows, integrations, and system limitations
Software Configuration: Manage user settings, permissions, and basic configurations as staff needs evolve
System Updates: Execute routine updates and maintenance tasks in alignment with SOPs, minimizing operational disruptions
Automation Monitoring & Support: Oversee automation tools (e.g., Zapier). Monitor workflows, troubleshoot basic issues, escalate complex problems, and support team adoption of automated processes
SOP Compliance: Follow established SOPs precisely. Conduct routine quality checks to ensure adherence and notify appropriate team members when deviations occur
Process Implementation Support: Assist leadership in rolling out new operational workflows, including documentation updates, staff training, and adoption monitoring
Automation Implementation: Support the setup, testing, and documentation of new automation solutions under guidance from the Head of Operations
Contract Management: Maintain contract libraries and perform basic document review for accuracy, completeness, and template alignment
Timesheet Processing: Monitor organization-wide timesheet submissions and follow up on missing or incomplete entries to ensure payroll accuracy
Rate Card Maintenance: Update and maintain pricing and rate card data, ensuring Producers have access to current information
File Organization: Maintain organized digital filing systems, ensuring documents are stored, tagged, and accessible appropriately
Report Distribution Management: Maintain ownership of report distribution lists and locations, ensuring consistent delivery of timely information
