Patient Service Representative

Responsibilities

Greet patients professionally in person, by phone, or via electronic communication
Respond to patient questions, concerns, and requests in a courteous and timely manner
Provide clear information regarding services, appointments, and office policies
Resolve or escalate patient issues as needed
Schedule, confirm, cancel, and reschedule appointments
Coordinate referrals, follow-ups, and procedures
Manage provider calendars and clinic schedules
Send appointment reminders and follow-up communications
Collect and verify patient demographic and contact information
Register new and returning patients in electronic medical record (EMR) systems
Obtain and process required forms and consents
Ensure accurate and complete patient documentation
Verify insurance eligibility and benefits
Obtain prior authorizations when required
Explain co-pays, deductibles, and financial responsibility
Collect payments and issue receipts when applicable
Accurately enter and update patient information in EMR systems
Document patient interactions, calls, and service requests
Maintain organized electronic and physical records
Ensure compliance with HIPAA and privacy regulations
Manage phone lines, voicemail, and patient portals
Prepare reports, logs, and daily activity summaries
Assist with general office and administrative tasks
Coordinate communication between patients, providers, and staff
Follow healthcare regulations, policies, and procedures
Maintain patient confidentiality at all times
Support quality improvement and patient satisfaction initiatives

Preferred

1+ year of experience in customer service, healthcare administration, front desk, or call center roles
Experience in a medical office, hospital, or healthcare setting
Proficiency with electronic medical record (EMR/EHR) systems
Working knowledge of Microsoft Office or Google Workspace
Ability to learn healthcare software, scheduling, and billing systems
Entry-level candidates with strong customer service backgrounds may be considered
