Assessment Assistant

Responsibilities
Conduct day-to-day operations that support the planning and implementation of state and district assessment projects, processes, and workstreams
Create standard language, communications, resources, and procedures to address common questions received from employees and other stakeholders
Provide first-tier responses to internal and external stakeholder inquiries (in-person/phone/email/support tickets) regarding the DREA department's workstreams and forward advance tiered inquiries to appropriate team members
Develop and maintain document filing and purging procedures that are based on state and federal regulations for accountability
File, maintain, and purge hard copy and electronic assessment documentation and binders according to mandated state and federal accountability requirements
Review error reports for accuracy and correct entries after auditing, uploading, and exporting data files into eDirect and other assessment platforms
Gather, enter, and track data for PSSA enrollment reports
Search for student demographic data via eSchoolPLUS and Performance Matters to support Assessment Office and SACs with assessment administration
Assist in the coordination, implementation and refinement of data entry, mapping, reporting, scanning, printing, troubleshooting and maintenance of unit, chapter, mid-term, and final assessments
Process, track, and monitor transactions, information, and data related to Professional Development which includes but is not limited to setting up training sessions, reserving rooms, managing registrations, attendance, and course completions, copying materials, distributing handouts, and troubleshooting issues
Order, store, and dray testing supplies by the appropriate deadlines and within budget constraints to ensure proper distribution to the School Assessment Coordinators
Attend and participate in professional development related to assessments
Document various procedures within the department and recommend improvements
Provide regular updates to supervisor regarding progress towards goals and challenges to meeting goals
Participate in departmental, team, and individual planning and goal setting
Communicate effectively and confidentially at all levels, over the phone, face-to-face, and electronically
Other relevant duties as assigned by supervisor in support of the Department's goals and objectives and the District's mission and Superintendent's Priority Goals
Qualification
Required
High School Diploma or equivalent required; Associate's degree preferred
Valid PA Drivers License
Minimum of 1-3 years working with state and/or district level assessments or relative and applicable experience with school district data
Proven experience developing and implementing rotating filing systems
Ability to organize and maintain large volumes of paperwork and electronic data according to state and federal guidelines
High attention to detail, organized, and able to work under pressure, in a high-paced environment while managing multiple projects that have frequent and competing deadlines
Ability to read, understand and interpret very lengthy assessment manuals, laws, guidelines, policies, directions, and user manuals to support the administration of assessments
Proficiency in or ability to learn and navigate a variety of assessment platforms
Ability to or experience in supporting staff with scanning, bubble sheet usage and online scoring
Demonstrated proficiency in Microsoft Outlook, Word Excel, Powerpoint, (eSchoolPlus, eMetric, EDirect, Professional Learning Platform, preferred)
Ability to exercise a high degree of confidentiality, professionalism, and diplomacy to accomplish objectives
Ability to cultivate relationships with culturally, educationally, and racially diverse internal and external customers
Excellent oral, written, and interpersonal communication skills
Value, demonstrate, and promote diversity, equity, and inclusion
Preferred
Associate's degree preferred
