Administrative & Events Assistant

National Corvette Museum is a premier destination for motorsports enthusiasts and corporate events, seeking a highly organized and energetic Administrative & Events Assistant to join their team. This role involves providing administrative support to senior leadership, assisting with sales and client communications, and ensuring smooth execution of facility rental events.

Responsibilities

Provides day-to-day calendar, communication, and other administrative duties for Executive Director
Maintains office efficiency through organized procedures and administrative support for senior staff
Ensures invoices, billing, and check requests are processed in a timely manner in the company’s financial reporting system
Maintains knowledge of insurance requirements for MSP activities and coordinates insurance orders for events as appropriate
Monitors general email inboxes and phone lines, ensuring timely responses and follow-up on guest and member inquiries
Coordinates training, certification renewals, and insurance requirements for events and track activities
Generates and manages track rental contracts, invoices, payments, and expense tracking
Supports Event Coordinator’s efforts by assisting with client communications and implementing strategies that drive revenue
Assists with planning and execution of facility rental events, including logistics, timelines, schedules, setup, cleanup, and on-site support
Uses third-party software to detail events and maintain accurate records
Engage with clients before and during events to clarify needs, provide A/V support, and ensure high-quality service
Prepares post-event summaries for accurate billing and client follow-up
Works flexible hours, including evenings, weekends, and holidays, as needed
Performs additional duties as assigned to support the success of the Motorsports Park

Required

High school degree or equivalent required with a Bachelor's degree desired
Minimum of 5 years experience in an administrative support role required
Proficiency with multi-line phones and Microsoft® Office Suite applications
Demonstrated reliability and proficiency in multi-tasking in a fast-paced office environment
Professional attitude and broad familiarity with administrative support requirements and expectations
Excellent written and oral communications skills with the ability to develop constructive relationships
Strong work ethic and unquestioned personal and professional integrity
Must be a self-starter who can organize and prioritize work independently with the ability to make sound decisions
Strong attention to detail, establishing priorities, and meeting deadlines
Capable of working both independently and collaboratively within a team
Flexibility to work varied hours, including evenings, weekends, and some holidays
Strong multitasking ability, handling multiple tasks and a high volume of work within deadlines
Excellent time management skills
Valid state driver's license required
Ability to walk and stand for extended periods
Ability to function in physical positions such as standing, stooping, bending, turning, twisting walking, kneeling, squatting, and climbing ladders
Ability to lift and carry up to 50 lbs. on a regular basis
Ability to work indoors and outdoors in various weather conditions and temperatures
Must have sufficient mobility to move around the office and the community
