Responsibilities

Assist in tracking and maintaining an accurate and up to date inventory of facility-related assets (e.g., furniture, equipment, technology)
Support tagging, movement, and documentation of assets across office locations
Update and maintain asset databases or systems
Coordinate with vendors and internal teams to manage asset deliveries and installations
Enter and maintain accurate financial records for facilities operations, including invoices, purchase orders, and vendor quotes
Assist with monthly reporting and reconciliation of facilities-related budgets and expenditures
Prepare and maintain recurring financial and operational reports for internal departments
Collaborate with the Finance team to ensure timely and accurate processing of facilities transactions
Assist in developing and improving documentation and internal processes related to the Real Estate and Facilities department
Support the coordination of office renovation, relocation, or space optimization projects
Help monitor project timelines, milestones and deliverables
Communicate and liaise with vendors, contractors, and internal stakeholders for scheduling
Support workspace planning including furniture layouts, move coordination, and setup
Support administrative functions including data entry and document maintenance
Act as a first point of contact for day-to-day facilities requests
Support compliance with health, safety, and sustainability initiatives
Conduct research and prepare briefing materials, presentations, and reports as needed
Take ownership of assigned projects and work independently with minimal supervision

Required

2 years of experience in facilities support, operations, administrative assistance, or a related field
Bachelor's degree or equivalent professional experience
Strong organizational skills and a high level of accuracy in data entry and record keeping
Basic understanding of asset management and financial tracking processes
Proficiency with spreadsheets (Excel or Google Sheets)
Effective communication skills and the ability to coordinate with internal and external teams
Adaptable and coachable, with a constructive attitude toward learning and following operational protocols
