Senior Project Coordinator

The California Department of Human Resources (CalHR) is the pillar of human resources management for all state employees. They are seeking a Senior Project Coordinator to perform project coordination, analytical, and event management duties in the Business Process Improvement Office, working closely with project managers and executive office management.

Responsibilities

Perform varied and complex project coordination, analytical, and event management duties in the Business Process Improvement Office (BPIO)
Work closely with BPIO Project Managers and Executive Office management on projects to better serve the needs of the public and state agencies
Review and improve processes, analyze data, update policies and procedures, and make recommendations related to projects
Be the liaison for key events and meetings
Serve as a backup for the Project Manager when needed

Describe a time when you were responsible for managing multiple high-priority assignments simultaneously. How did you ensure all deliverables were completed accurately and on schedule?
Explain the methods, tools, and strategies you use to monitor project progress or coordinate events to ensure all deliverables are completed within established timelines. Provide a specific example that demonstrates how you applied these practices in a real situation
Provide an example of a process improvement initiative you led. Describe the problem, the solution you developed (including any analytical tools such as spreadsheets), and how you secured management buy-in to implement the change
Knowledge of project management and process improvement methodologies
Knowledge of the State's recruitment process a plus
Proficiency in Microsoft Office, including having advanced MS Excel skills and experience with MS Visio and MS Power BI
Experience in project coordination working with project managers
Experience in meeting coordination and event planning and working with multiple stakeholders and managing all event logistics
Experience in developing online surveys with SurveyMonkey or similar programs
Experience researching and analyzing complex data including creating dashboards
Experience in developing tracking mechanisms
Experience using MS Teams, MS Planner or similar programs for Project Management and collaboration
Experience facilitating and leading meetings with staff and management
Experience using and developing digital workflows/ process maps and document transmittal systems, such as Adobe Sign, DocuSign, Microsoft, Xerox, or other similar systems
Effective communication, business acumen, and problem-solving skills
Ability to give and follow directions, be accurate and thorough in completing specific tasks, and independently interpret and use reference materials
Ability to adapt to changes in priorities, assignments, or other interruptions, and work under pressure to meet deadlines
Ability to develop and maintain effective and cooperative working relationships, work independently and as part of a team
Strong work ethic, including regular, consistent, and predictable attendance
