Senior Project Support Specialist

Responsibilities

Provide high quality customer service to high level executives at the Office of General Counsel at NASA Headquarters
Provide writing support as needed on a variety of documents
Coordinate meetings/appointments/conferences and arrange for appropriate equipment
Prepare agendas, attend meetings as requested, and report back status
Manage shared calendars for one or more Executives as needed
Help coordinate, plan, and execute office moves to include phone moves, IT coordination, list updates, key requests, door sign requests, and excess requests
Maintain office supply inventories
Coordinate logistics for travel to include protocol and multiple legs of trips
Prepare, process, and coordinate approval for purchase request and other documents
Prepare standard presentation packages for NASA Executives as well as specialty presentations to include gathering input and formatting for consistency
Develop and document internal workflows for efficiency
Prepare and route official NASA correspondence documents as per NASA HQ standards and directives
Maintain and update electronic files, records, and data
Individual will proactively interface with all levels of management and other program team members to ensure the Directorate has all levels of administrative support covered
Additional duties as requested. May lead others in complex assignments

Required

Ability to work on site 5 days a week, during normal business hours
Responsible for communicating project status and issues to customers and leadership as they arise
Outstanding, proactive, customer service skills with the ability to anticipate needs and create efficient process flows
Must have excellent oral, written, and interpersonal communication skills. Able to work with executive-level customers and leadership
Strong working knowledge of Microsoft Word, Excel PowerPoint, and Outlook
Must have the ability to balance multiple priorities and produce quality work efficiently
Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA HQ Extensive background investigation will be performed as a requirement of the job
Some travel may be required
Bachelor's degree and 8-10 or more years of experience or equivalent related experience in lieu of degree
