Engagement Lodging Specialist

Responsibilities

Serve as the operational point of contact for extended-stay hotel program requests
Process and review Engagement Lodging Request Forms, ensuring all required fields are complete, flagging missing information, and confirming no duplicate requests exist
Manage the full project request lifecycle—from intake and sourcing through negotiation, rate loading, and final confirmation—within defined service-level timelines
Collaborate directly with client project leads to clarify needs, communicate timelines, and ensure successful engagement setup
Liaise with hotel suppliers to request and confirm rates, amenities, and engagement contracts aligned with client policy and budget
Negotiate favorable pricing and terms while prioritizing client savings, policy compliance, and relationship continuity
Initiate and track engagement documents through contract completion, rate loading, and system activation
Participate in supplier calls, support virtual agency visits, and provide feedback based on operational performance or gaps
Maintain accurate records of all lodging engagements, rate documents, and related supplier communication
Ensure all supplier offers and engagement terms are in compliance with client policies, internal SOPs, and system loading requirements
Maintain and organize digital filing systems for client-facing documents and internal documentation
Monitor project incoming requests and manage the engagement lodging mailbox to ensure timely, efficient processing
Audit loaded rates and escalate discrepancies or delays to appropriate teams for resolution

Required

5+ years of corporate travel, lodging program, or extended stay experience, ideally supporting large enterprise clients
Proven experience with hotel sourcing, rate negotiation, and supplier engagement
Exceptional attention to detail with a consistent track record of accuracy and process adherence
Strong communication and interpersonal skills, with the ability to collaborate across internal teams and external partners
Proficiency with GDS systems (Amadeus preferred); and Cvent (Lanyon Sourcing) platform (not required)
Comfortable managing multiple projects and shifting priorities in a fast-paced, remote environment
Strong organizational skills including digital filing, time management, and workflow tracking
Proficiency with Microsoft Office or Google Workspace, including spreadsheets, presentations, and shared documentation

Preferred

Knowledge of Lodging Industry and experience with negotiations is a major plus
