Responsibilities

Coordinates and administers travel activities for CSW, including requests, bookings, reimbursements, and compliance with State, University, and College policies. Provides training and maintains documentation. Responsible for reviewing, entering, and monitoring travel requests and expense reports for the College and serves as the travel delegate. Ensures that appropriate approvals have been obtained and that travel complies with all applicable policies and procedures. Interprets policy, recommends and implements internal best practices for efficient operations. Assists travelers with arrangements and bookings, manages travel cards, and ensures sound internal controls by monitoring travel activities using queries and reports. Oversees travel allocations throughout the fiscal year and maintains organized records for receipts, requests, and documentation. Provides backup support for travel activities related to the CSW Dean’s Office, Centers, and Institutes
Responsible for and coordinates departmental procurement processes for CSW, including requisitions, purchasing card transactions, vendor coordination, and invoice tracking. Ensures adherence to internal controls and policy compliance. Responsible for obtaining and reviewing quotes, determining best procurement methods, entering requisitions, tracking procurement items from requisition to delivery and receipt, and monitoring invoice payment for the College as the procurement representative. Provides training and support to faculty, staff, and students on policies and procedures related to procurement. Ensures adequate supplies are in stock in the copy room and general supply cabinets available to CSW faculty and staff. Monitors procurement activities daily by utilizing queries and reports. Assists in creating a sound environment of internal controls by ensuring purchases comply with State, University, and CSW policies and procedures. Acts as the College's primary purchasing cardholder and backup proxy. Serves as the backup for procurement activities for CSW Centers and Institutes
Supports process improvement initiatives, documentation, and reporting to enhance operational efficiency and service delivery across CSW. Serves as CSW Contract Manager. Responsible for the development and tracking of contracts and agreements with faculty, staff, and legal counsel. Communicates with faculty, staff, and vendors to provide updates and ensure timely information sharing. Proactively notifies stakeholders of expiring contracts and agreements. Serves as a resource and backup for front-office operations to ensure continuity and efficiency across administrative services. Assists with resource requests such as instructional materials
Performs and coordinates inventory management and annual property audits. Maintains accurate records and ensures timely completion of inventory requirements. Performs duties of the department inventory taker, including timely completion of the annual inventory of property. Coordinates with centers and institutes with their inventory management and annual property audits

Required

High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years
