The Emergency Disaster Services (EDS) Administrative Assistant -11-085-SC/ Pasadena Tabernacle
The Salvation Army Southern California is seeking an Emergency Disaster Services Administrative Assistant to provide professional clerical and administrative support to Disaster Case Managers. The role involves facilitating communication, maintaining databases, and assisting with various projects related to disaster response efforts.

Responsibilities
Serve as Corps secretary providing professional level clerical and administrative support to the Disaster Case Managers (DCM), composing and typing all correspondence and all types of written material
Screen calls and visitors to the DCM’s, making appointments as necessary
Work with DCM’s and other staff members for the creative development of EDS response to people affected by the Eaton and Palisade Fires
Provide assistance to all DCM’s departments with the development and maintenance of an up-to-date database of victims of the wildfires
Accountable to collect, organize and report all EDS assistance given to the fire victims
Maintain a well organized and up-to-date EDS fire victim filing system
Conduct regular on-line and other forms of research and order supplies in support of the DCM’s in developing programs, activities or events in support of fire victims
Participation in special projects, events and campaigns as requested
Communicate with and serve as liaison to the EDS Director as directed by DCM’s to assure all TSA guidelines and policies are adhered to
Maintain accurate accounting of EDS gift card inventory per financial guidelines
Various other duties as assigned
Qualification
Required
High school graduate
Exceptional composing, writing, editing and accurate typing skills are necessary
Must be familiar with, understand, and be willing to comply with the purpose and goals of The Salvation Army
Managerial level functioning computer skills with practical mastery of all Microsoft Office programs and the Salvation Army Application Portal
Must possess excellent written and oral communication skills in the English language and be able to draft and type professional level communications and publications
Must be reliable, conscientious and trustworthy
Must be comfortable contacting and coordinating work with outside vendors
Excellent organizational skills including multitasking and time management
Must be capable of handling confidential material, demonstrate good judgment and act and dress in a professional manner
Possess and maintain a valid Driver's License and good driving record
Willingness to submit to extensive criminal background, drug and motor vehicles checks
Must possess a broad-spectrum skill set including excellent customer service, clerical, and secretarial capabilities
The ability to quickly grasp and analyze circumstances resulting in effective decision making
Excellent customer service and relationship building skill is required
The ability to follow instructions, plan and organize work, complete assignments within a strict time-line, and manage change is essential
Have the capacity to work independently and stay on-task within policy guidelines
Proficiency in modern office methods and equipment, including the preparation of business correspondence
Must be able to work with minimal supervision, be prepared to encounter a variety of assignments, timelines, and maintain confidentiality of sensitive information
Must be comfortable taking instructions from multiple people
Preferred
College coursework in Secretarial/Clerical skills, Office Management, Typing, Proofreading or Editing, and Graphic Arts
Associate's degree preferred
3 years of recent successful experience as a managerial level secretary providing administrative and clerical support, preferred
