Part-Time Office Administrator/Senior Administrative Assistant

Dewberry is a leading, market-facing professional services firm with more than 60 locations and 2,500 professionals nationwide. They are seeking an experienced and motivated Office Manager/Administrative Assistant to support a team of civil engineers in their Boston office, assisting with day-to-day logistics and administrative tasks.

Responsibilities

Provide necessary administrative support to project managers and technical teams
Coordinate company activities with other Dewberry national offices
Prepare materials for meetings (agendas, presentations, documents, notes)
Create and/or prepare spreadsheets, memos, letters, and reports
Support logistics and coordination with landlord/building manager/security
Support logistics around use of company vehicles
Archive projects/documents, as needed
Track equipment maintenance and maintain equipment use logs
Handle sensitive information with complete discretion
Manage inventory of office equipment and supplies, and order as necessary
Manage travel for senior managers, as needed
Respond to and communicate with clients via phone, email, letter, and in-person
Schedule meetings and keep organized. Schedule food and beverage services during meetings. Set up Virtual/Teams meetings and send reminders
Other duties as assigned

Required

High school diploma required, Bachelor's degree preferred
10+ years of experience as an office/administrative assistant or similar role
Strong proficiency with Microsoft Word, Excel, PowerPoint & Outlook; Teams and Adobe Acrobat
Must have a strong work ethic, excellent time management skills and self-starter/proactive mindset
Strong interpersonal and written and oral communication skills
Must be flexible and able to adapt quickly to various tasks and changing demands, and be a team player
Ability to work independently while following instructions and pre-established guidelines to perform the functions of the job
This role is expected to be part-time (approximately 16-24 hours per week)
