Operations Coordinator

Responsibilities

Oversee and optimize daily route scheduling across all branches (Hendersonville, Nashville, and Commercial) to maximize technician efficiency
Monitor route density and identify opportunities for improved geographic clustering
Coordinate schedule adjustments for callbacks, re-services, and emergency requests
Work with Branch Operations Manager to balance workloads across approximately 40 routes
Track and analyze drive time, stops per day, and route efficiency metrics
Maintain comprehensive fleet records including registrations, insurance, and inspection schedules
Coordinate routine maintenance schedules and track service history for all vehicles
Manage relationships with mechanics and service providers
Monitor fuel usage and identify cost-saving opportunities
Oversee vehicle cleanliness and branding standards
Coordinate vehicle assignments and manage fleet inventory
Handle accident reporting, insurance claims, and repair coordination
Track and manage GPS/telematics systems
Serve as primary point of contact for all operational vendors
Negotiate contracts and pricing for supplies, chemicals, equipment, and services
Manage vendor relationships and performance expectations
Process and reconcile vendor invoices with Bookkeeper
Research and evaluate new vendors as needed
Maintain organized vendor files including contracts, W-9s, and insurance certificates
Coordinate delivery schedules to ensure adequate inventory levels
Serve as internal administrator for pest control management software (scheduling, CRM, billing systems)
Troubleshoot basic software issues and coordinate with vendors for complex problems
Train staff on software systems and maintain training documentation
Manage user accounts, permissions, and security protocols
Identify and recommend software improvements or new technology solutions
Oversee data integrity and ensure accurate record-keeping across platforms
Coordinate software updates and system maintenance windows
Monitor and maintain inventory levels of chemicals, equipment, and supplies across all branches
Establish and manage reorder points to prevent stockouts
Coordinate supply distribution between branches as needed
Track inventory costs and identify savings opportunities
Ensure proper storage and handling of all materials per safety regulations
Manage equipment assignments and track company assets
Maintain organized filing systems for operational records
Ensure vehicle and equipment compliance with state and federal regulations
Track technician certifications and license renewals
Assist with preparation for regulatory inspections
Maintain safety documentation and OSHA compliance records
Manage workers' compensation documentation and coordinate with insurance providers
Prepare operational reports for leadership review
Coordinate internal communications regarding schedules, policies, and procedures
Assist with onboarding logistics for new field employees (uniforms, equipment, vehicle assignments)
Support special projects as assigned by COO or CEO
Serve as backup support for Admin or Front Desk during high-volume periods or absences
Coordinate company meetings, training sessions, and events
Identify inefficiencies in current operational processes and recommend solutions
Document standard operating procedures (SOPs) for operational functions
Implement new systems and processes as approved by leadership
Track key performance indicators and report on operational metrics

Required

Minimum 3 years of experience in operations, logistics, or administrative coordination
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Experience with scheduling software and/or CRM systems
Strong organizational skills with exceptional attention to detail
Ability to manage multiple priorities and meet deadlines
Excellent written and verbal communication skills
Valid driver's license with clean driving record
Ability to work independently and take initiative

Preferred

Experience in pest control, home services, or field service industry
Experience with fleet management
Familiarity with GPS/routing software
Background in vendor negotiations and contract management
