Responsibilities

Oversee the daily administrative and operational tasks of US WM Operation’s office space, manage office supplies, and maintenance of office facilities
Liaising with Facilities, building management, external vendors and service providers to ensure the office infrastructure is maintained
Coordinate and maintain calendars for multiple parties to ensure that activities are properly arranged and prevent conflicts by prioritizing requests for meetings from colleagues and direct reports
Handle office duties, such as answering and routing phone calls, responding to emails, answering routine questions and requests from Operations employees, vendors and internal clients on behalf of Operations
Focus on helping the Operations Senior Leadership Team coordinate a large amount of information, requests, and competing priorities by handling administrative duties on their behalf
Create and update documentation, Executive & Senior Leadership meeting agendas/minutes, presentations, spreadsheets, organizational charts, and emails as needed
Coordinate travel for Operations Senior Leadership; adjust itineraries and arrangements, as necessary
Assist in planning, coordinating and/or leading Operations activities, meetings, and events

Required

4-year degree from an accredited university or equivalent OR High school diploma or equivalent AND 3+ years of securities, banking, technology, and/or job specific industry experience
1+ year prior securities, banking, technology industry and/or job specific related industry
Fully proficient with MS Office (Word, Excel, PowerPoint, and Outlook)
Comfortable in a position affording visibility and interface with senior management/executives
Strong Leadership, facilitation, negotiation, verbal & written communication skills to deal with senior executives

Preferred

4-year degree from an accredited university in business, finance, or related field
