Internal Medicine Program Specialist

The Internal Medicine Program Specialist is responsible for maintaining the operations of the Department of Medicine, which includes managing onboarding processes, scheduling, payroll, and departmental events.

Responsibilities

Coordination and management of a system for onboarding DOM providers, including HR hiring, Medical Staff office credentialing, contracting/legal, malpractice coverage/Risk Management, insurance carrier enrollment/Professional Revenue Services and EPIC training/linkage
DOM orientation for both physicians and other team members
Calendar/schedule management for the Chair, Vice-Chair, Departmental Administrator, and various Division Chiefs within the DOM
Manage Clarivia and MyWay/PeopleSoft for payroll, including verification that time entered is reflected accurately and exceptions are cleared. Notify the Departmental Administrator when time entered can be approved
Manage payroll transactions, generate payroll submissions and collaborate with payroll
Manage the online (AmIOn) call schedule for all faculty/Divisions in the DOM
Maintain and update virtual (Google Drive) folders to include all DOM faculty, fully executed contracts and contract amendments
Maintain a tracking spreadsheet for faculty agreements that are pending expiration, so that the Administrator can bring them forward for renewal
Plan and coordinate DOM events, including but not limited to Grand Rounds, departmental meetings and divisional conferences. Troubleshoot all event issues
Prepare presentations and minutes for DOM meetings
Implement and maintain a systematic approach to track/pay DOM invoices for either call coverage or other services
Coordinate special projects as instructed
Generate expense reports
Ensure appropriate departmental inventory
Maintain up-to-date departmental manuals and files
Adhere to HMH Organizational competencies and standards of behavior
Other duties and/or projects as assigned

Required

Bachelor's Degree or High School diploma, general equivalency diploma (GED), and/or GED equivalent programs with 3+ years in an administrative support role (academic medical center setting preferred)
Strong skills in Google Office Applications
Strong organizational skills
Ability to work both autonomously and collaboratively
Ability to work in a fast-paced environment and manage a high-volume workload
Ability to consistently demonstrate initiative, professionalism, poise and flexibility and work within an environment of frequent interruptions, conflicting priorities and varying workloads
Strong analytical and operational skills
Experience with provider credentialing and insurance enrollment is preferred
