Program Manager, CAPES
UMass Chan Medical School is seeking a Program Manager for CAPES, responsible for overseeing complex multi-year, multi-site projects in the Department of Emergency Medicine. Responsibilities
Participate in the development of project/program plans and programs in conjunction with departmental leadership
Act in a program management capacity and be responsible for managing day-to-day logistics and operational needs of CAPES, convene and provide overall to direction to project/program teams and identify and address problems which may adversely affect program performance
Identify necessary resources for projects/programs, including organizing and coordinating resources from UMMS and other campuses of the University system; monitor work progress, including data analysis and reports, and oversee timely completion of the work
Establish project/program milestones and schedules
Develop and maintain relationships and correspondence with key partners and stakeholders, including leaders in the public and private sector, to advance CAPES goals. Represent CAPES on committees in internal and external settings; attend trainings, workshops, and conferences as needed/invited
Strategize and coordinate CAPES communications, dissemination and outreach, including joint communications with stakeholders
Develop and maintain communication materials, including newsletters, marketing materials, website content, and social media
Write formal communications and meeting agendas, prepare presentations, reports and distribute/lead project/program meetings
Prepare project/program budgets, and manage expenditures with the department administrator
Monitor regulatory and compliance requirements for all CAPES sponsored research activity, contracts, extensions, and amendments with outside vendors, private agencies, and consultants in conjunction with Purchasing and legal offices; monitor the contracts for cost effectiveness and quality performance standards
Prepare data for financial reports, budgets, budget and research fund reconciliations, forecasting, analysis, and ad-hoc reports for Administrators and PIs as needed. Perform analysis of data as required
Manage all phases of post-award grants and contracts, clinical trials, extensions, amendments, to include review terms and conditions of new awards, monitoring budgets, expenses, and faculty time and effort monitoring, cost sharing, recovered overhead. Advise Administrator and PI of reporting requirements and budget variances
Plan events, including project workshops, presentations, conferences, and community discussions
Perform other duties as required
Qualification
Required
Bachelors degree in Business Administration, Finance, or Accounting, or equivalent experience, or a related degree or equivalent experience
5-7 years experience in developing, implementing, and evaluating project/programs, including significant experience in project/program management, and fiscal responsibility, or equivalent
Working knowledge of supervision and coordination of complex, federally, state, or municipally funded projects in an academic setting
Ability to plan, organize, coordinate and implement administrative functions and activities in multi-year concurrent projects
Demonstrated research administration experience with post award emphasis
Strong writing skills, including a variety of communications from social media and marketing materials to reports
Exceptional attention to detail and confidentiality
Excellent interpersonal skills and ability to effectively communicate with diverse leaders, faculty, and staff
Excellent organizational skills and multitasking skills to coordinate multiple project teams, goals, and budgets in a deadline-driven environment
Proven ability to think strategically and to work independently and as a team player
Strong problem solving and analytical
Strong computer skills (e.g., high level Microsoft Office products)

Ability to travel for meetings, conferences, etc
A hybrid schedule may be considered after an appropriate training period
