Responsibilities

Primary responsibility to assist and support the Alternative Dispute Resolution (ADR)/Settlement Mentor Program and to maintain the ADR Database; Provide secretarial and/or administrative support to the Executive Support Unit, Civil, Grand Jury, Judicial Officers, Executive & Management Team, and other departments as needed
Assist with the Court’s Master Calendar Desk which includes finding Judicial coverage and/or requesting an assignment through the Temporary Assigned Judge Program/Judicial Council, assist with the Temporary Judge/Pro Tem Program; and Bench Calendars
Provide support to the Presiding Judge as needed
Greet and assist visitors at the front desk; respond to inquiries; screen/direct calls to appropriate departments and/or subject-matter experts
Draft and edit a variety of business documents (e.g., correspondence, memoranda, reports, forms, legal documents, instructions, spreadsheets, etc.)
Provide support in processing Court ID badges for active Contra Costa Bar members
Assist with the planning and implementation of Court Events
Perform clerical duties such as filing, copying, collating, assembling reports and documents, distributing materials throughout the branch courts, and opening, sorting, and distributing mail
Coordinate the repair and maintenance of office equipment
Maintain conference rooms, reception area, and the storage/supply rooms
Maintain inventory and order office supplies
Coordinate meetings and events, maintain appointment calendars and travel arrangements and process travel expense claims
Manage video conferencing and conference calls
Train colleagues in work processes and procedures; and
May serve as member of the Emergency Response Team

Required

Possession of a high school diploma, a GED equivalency certificate or a high school proficiency certificate
Possession of a valid driver's license issued by the State of California
Five (5) years of full-time increasingly responsible secretarial or administrative/clerical experience
Must successfully complete a criminal history check conducted by the County Sheriffs Department
An Associate's Degree from an accredited college can substitute for one (1) year of the required administrative clerical or business clerical experience
A Bachelor's Degree from an accredited college can substitute for two (2) years of the required administrative clerical or business clerical experience
Any combination of education and experience that provides the candidate with the requisite knowledge, skills, and abilities to perform the duties of the Administrative Assistant--Confidential (ADR) will be considered
Knowledge of secretarial practices and modern office methods
Knowledge of computer equipment, word processing and spreadsheets software
Knowledge of correct punctuation, grammar, spelling and proper business communications practices
Ability to communicate clearly and concisely, both orally and in writing
Ability to multi-task, organize and prioritize work assignments and produce a thorough and accurate work product
Ability to provide assistance and deal with concerns from the public, community organizations, and other agencies in an unbiased, ethical and professional manner
Ability to listen, learn/follow directions and follow-through on assigned tasks
Ability to maintain a professional and positive demeanor
Ability to work collaboratively with others and maintain effective and respectful working relationships
Regular and punctual attendance is essential
