Administrative Specialist - Variable Hour Not Benefit Eligible
City of Aurora is looking for dedicated and collaborative individuals to join their team. The Administrative Specialist will provide general administrative support and perform complex clerical duties for the Human Resources Department.

Responsibilities
Responsible for handling all front desk reception and administrative duties, including greeting customers, answering phones, Human Resources inquiries, distributing mail and scheduling meetings
Responsible for issuing new or replacement employee badges
Scheduling, plan meetings and appointments for the Director and Deputy Director of Human Resources
Assist in planning department events, meetings, luncheons, and employee team building activities
Types and processes a variety of materials including correspondence, memoranda, reports and other documents related to the Human Resources function
Performs purchasing duties and tracks spending plan for the department
Manages office supplies as well as repair and maintenance for office equipment
Directs internal and external customers to appropriate party
Sorting and distributing communications in a timely manner
Maintain trusting relationships with suppliers, customers and employees
Performs additional duties as assigned
Qualification
Required
High school diploma or equivalent (GED) required
At least two (2) years' experience in administrative support role
Prior experience handling office responsibilities, experience in customer service, or related field
Knowledge of business English, spelling, and math
General office equipment, including personal computers with related software applications
MS Office Suite
Strong interpersonal, problem solving, analytical and managerial skills
Skill in the use of computers including spreadsheet design, database programming and word processing software applications
Excellent organizational and time management skills
Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars
Excellent written and verbal communication skills
Organized and detailed oriented
Establish and maintain effective working relationships with employees, citizens, and elected officials
Communicate effectively both verbally and in writing
Handle sensitive situations with tact and diplomacy
Stay calm under pressure
Light physical work lifting at least 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds with or without assistance
Frequent lifting or carrying of objects weighing up to 10 pounds
Frequent hand/eye coordination to operate computer keyboard and office equipment
Clear vision to read and interpret reports, computer data and other written material
Frequent speech communication and hearing to maintain communication with employees and citizens
