Program Support Specialist
PROCEED, Inc. is a National Center for Training, Support and Technical Assistance, seeking a Program Support Specialist to provide administrative support to the capacity-building team. The role involves managing distance learning programs, coordinating meetings, and maintaining databases to enhance technical assistance efforts.

Responsibilities
Provide technical assistance and programmatic support for NCTSTA’s Distance Learning Programs
Operate NCTSTA’s distance learning platforms and software including Zoom Meeting, Zoom Webinar, Zoom Events, learning management systems, video conferencing platforms, and others
Provide expert guidance, technical support, and training to NCTSTA staff and consultants on the use of the above-mentioned distance learning technologies
Collaborate with NCTSTA’s distance learning team to plan and execute webinars, video conferences, technical assistance sessions, self-paced learning courses, and other multi-media projects
Assist in establishing and implementing quality assurance reviews of distance learning activities
Assist with marketing activities to promote NCTSTA’s distance learning offerings
Maintain knowledge of distance learning technologies and advances in the field of distance learning through research, practice, and participation in training offered
Coordinate program-related meetings and public relations activities for NCTSTA
Maintain NPAC listserv; schedule quarterly mailings to NPAC members on NCTSTA updates and/or relevant literature
Organize the distribution and collection of materials reviewed by NCTSTA’s materials review committee
Coordinate exhibitor activities NCTSTA at local, regional, and national events
Assist in the creation of relevant, unique, and engaging content on new and participating social media and digital platforms
Facilitate communication between NCTSTA, Consultants, and other CBA network members to disseminate information on program activities and services
Represent PROCEED NCTSTA at regional and national meetings, conferences, etc., as appropriate
Provide support to staff in planning and executing program-related activities, including but not limited to logistics, printing, documentation formatting, preparation of materials and supplies, and development and/or review of PowerPoint presentations
Manage NCTSTA’s electronic filing system and various databases
Maintain NCTSTA’s electronic filing system and databases
Set up and maintain the filing system; modify as needed
Establish and schedule quality assurance checks for files/data
Update NCTSTA Program Director and program staff; specify corrective actions needed and establish a timeline for conducting these actions
Manage NCTSTA’s national consultant database
Maintain updated consultant information, which reflects NCTSTA’s consultant requirements, guidelines, and protocols for practice
Establish and maintain a consultant listserv and schedule quarterly mailings to consultants with relevant literature
Assist with the coordination of consultant in-services and/or continuing education sessions
Adhere to the program philosophy, approaches, policies, and practices of PROCEED NCTSTA
Learn about PROCEED’s mission, vision, and guiding principles, and diverse programs and services
Maintain accurate and complete documentation of all NCTSTA resources and information transfers
Comply with PROCEED’s confidentiality policy, both internally and with external client organizations
Comply with the staff policies and procedures outlined in the staff handbook
Maintain ongoing professional development and current knowledge on trends in distance learning, organizational development, workforce improvement, program development and integration, and other related subjects
Participate in staff development training and meetings
Manage special projects and perform other duties as assigned by the Director or designee to support the mission, goals, and objectives of PROCEED, NCTSTA
Qualification
Required
Bachelor's Degree plus a minimum of two years of experience in office management or program coordination
Experience in the use of distance learning technologies and online learning platforms
Knowledge in database development and maintenance
Knowledge of Windows, Excel, and word processing software
Internet literacy required
Excellent oral and written communication skills
Experience working with health and human service organizations (HIV or public health related)
Valid U.S. Driver's License
Must demonstrate a strong commitment to teamwork
Must be able to work under pressure, handling several projects with minimal supervision from inception to completion while meeting set deadlines
Available to travel throughout the United States, Puerto Rico, and the US Virgin Islands, including on weekends and evenings (estimated 25-30% of the time)
