Responsibilities

Collaborate with Program Staff and Finance to oversee the tracking and distribution of Direct Assistance for HSPRS
Responsible for training and compliance for Direct Assistance
Increasing efficiency and exploring new systems for virtual programs
Work closely with Finance to ensure compliance and adherence to budget
Serve as backup to the Operations Manager and IT department for IT and communications infrastructure, hardware, and software matters
Educate staff about IT support resources, including appropriate channels for incident reporting
Provide support to ensure continuity in software licensing needs
Provide orientation to newly hired staff on IRC software, knowledge management, and processes including helping newly hired staff be included in appropriate Listservs and calendar invites
Ensure new accounts are created and old accounts are deleted, as needed
Collaborate with global Safety & Security team and Operations Manager to: Train and support HSPRS staff on incident management reporting
Serve as support to Operations Manager for procurement and supply chain
Order supplies, equipment etc. in accordance with supply chain and financial compliance guidelines and coordinate servicing and repairs as needed
Manage vendor billing/invoices in coordination with Finance team
Manage and maintain digital and physical files
Coordinate on- and off-site storage needs with HSPRS Operations Manager
Support Operations Manager and Finance Coordinator in travel training and dissemination of travel guidance
Work closely with the Deputy Director of Partnerships and Operations Manager to ensure effective functioning of cross-cutting systems needed to support program success
Maintain email distribution and contact lists
Liaise with HSPRS Operations Manager and other headquarters departments as needed on issues related to IT, office services, global supply chain, HR, recruitment, etc

Required

Bachelor's degree or equivalent directly related experience required
Highly organized self-starter with demonstrated problem-solving and follow-through ability, and proven success in managing multiple and diverse priorities under pressure
Experience with financial reporting and administrative record keeping
Strong analytic problem-solving skills with attention to detail
Ability to troubleshoot basic IT issues
Excellent verbal and written communication skills as well as an overall ability to be clear and concise in all communications
Strong organizational and time-management skills; proven ability to prioritize and deliver on time in a demanding, fast-paced environment
Ability to work both independently and in a dynamic, cross-functional global team structure
Highly proficient in Microsoft Office suite
Demonstrated ability to work effectively with stakeholders at all levels
Ability to manage and work through change in a proactive and positive manner
Ability to work some evenings and weekends as needed
Fluent in English, both spoken and written
Excellent interpersonal and communication skills: the ability to successfully and effectively liaise with people within and across departments as a team player in a multi-cultural environment
Solid problem solving and critical thinking skills
Maintain a high level of efficiency, composure, professionalism and optimism in high-pressured situations
Excellent computer skills: Microsoft Word, Excel, and PowerPoint
Proven writing and editing skills: a quick and accurate reviewer and editor
Written approval by ORR including a Child Abuse Neglect Check and FBI fingerprint check

Preferred

Experience working with remote teams
Experience with Integra (or other financial software systems) and Power BI
Experience in multicultural settings, human services and non-profit work an advantage
