[2026] Office Manager, Fresh Air Camps
The Fresh Air Fund is a long-standing organization that provides transformative summer programs for children. The Office Manager at Fresh Air Camps is responsible for ensuring the camp office runs efficiently, serving as the first point of contact for parents and staff, and managing various administrative tasks throughout the summer.
Civic & Social Organization
Responsibilities
Maintain office services by organizing office operations and procedures, sorting mail and correspondence, managing filing systems, and overseeing supply requisitions
Answer incoming phone calls in a professional and courteous manner, providing information and assistance to parents, camp staff, and other callers
Reconcile camper, cabin, and bus lists in the camp’s online database each session to ensure accuracy
Relay important updates and communications to the Camp Director and administrative team promptly
Manage the call-back system to ensure timely and effective communication between administrative staff and parents
Prepare and organize paperwork for camper arrival and departure days
Coordinate with the Operations team to ensure completion of orders, requisition of supplies, and any other required paperwork/forms
Support the Administrative team with special projects
Maintain yearly records including orientation schedules and workshop designs, staff lists, and camper reports
Communicate with other camps to coordinate shared resources and supplies
Track and report daily meal counts for the USDA Food Service Program
Keep the camp office organized, welcoming, and efficient throughout the season
Address stressful situations appropriately in a fast-paced, interactive environment
Prioritize camper needs when making decisions and uphold a camper-first philosophy
Participate actively in the camp community — including campfires, overnights, hikes, swimming, and village meetings. (Some lifting or physical activity may be required.)
Communicate, model, and uphold camp policies, traditions, and community standards
Ensure the safety, supervision and well-being of all campers at all times
Demonstrate professionalism and approachability, maintaining healthy boundaries, and avoiding fraternization with general staff while on/off duty
Serve as a role model for campers and staff by showing enthusiasm, empathy, and commitment to camp values
Live and work in a communal camp environment — including shared cabins, limited privacy, and group dining. Time off during each session will be scheduled by the supervisor
Care for and responsibly use camp facilities, property, and equipment
Be familiar with and follow all emergency and safety procedures
Perform other duties as assigned to support the success of the camp community
Qualification
Required
At least 18 years old by the start of camp
Prior experience working in an office with strong phone skills required
Emotionally mature with a willingness to work as a team player
Flexible and willing to accept challenges and step outside your comfort zone
Able to maintain a positive attitude
Available for the entire duration of the summer program
Preferred
At least one year of college or equivalent is preferred
Bilingual language skills are a plus
A driver's license is highly preferred
An interest in working with children
Interested in working and living in the outdoors for the summer
