Administrative Assistant to the Dean of the School of Arts, Culture & Society

The role involves managing the dean's calendar, organizing meetings and events, overseeing student workers, and ensuring effective communication within the university community.

Responsibilities
Thoroughly understand and implement best practices for calendar management and scheduling including expert use of Outlook – prioritize appointments as necessary, anticipate materials needed for appointments, organize daily itinerary for dean
Make meeting arrangements, travel arrangements, and schedule adjustments as needed; Anticipate the impact of schedule on materials needed each day by the dean
Use Microsoft Excel, Word and PowerPoint as well as Self-Serve Banner and Jadu to plan, develop and complete projects as assigned in a timely manner. This includes the development/editing of spreadsheets and presentation decks
Prepare memos and written communications as directed by the dean
Effectively manage projects including information gathering, providing recommendations and project implementation
Manage and Implement Student Recruitment efforts as directed by the Dean, especially the Young Writers and Young Filmmaker’s Summer Workshops
Effectively plan events involving multiple campus and community partners
Keep dean’s materials organized and easily accessible electronically and when appropriate in paper form
Edit and refine school web pages as assigned
Maintain files, including electronic files as well as archives for the School of Arts, Culture and Society and appropriate centers in a methodical and systematic way
Coordinate and reconcile office billings and assist dean with budget preparation
Oversee student employees and assign tasks in an efficient and effective manner
Maintain a professional workspace and a professional demeanor in all interactions with faculty, staff, students and community members
Monitor effectiveness of administrative support across the school, centers, and institutes
Take minutes and attendance at meetings, and facilitate follow up on action steps
Maintain consistent and reliable attendance
Other duties as assigned
Qualification
Required
Associates Degree and/or specialized training
2-3 years of administrative support experience
Professional-level communication skills, including strong writing, editing, speaking and comprehension skills
Ability to communicate successfully across departments and with various constituencies, including external contacts
Strong organizational skills, including time management skills and the ability to prioritize multiple responsibilities
Expert computer proficiency including the ability to work independently in Outlook, Self-Service Banner, Excel, PowerPoint, Word, as well as social media outlets
Ability to work in various databases as well as understand basic web design and web page maintenance
Ability to work independently on complex projects managing significant portions with little to no oversight
Ability to develop and implement systematic electronic filing systems
Ability to maintain a high level of confidentiality and a professional demeanor and workspace at all times
Basic understanding of compliance and regulations related to higher education
Working knowledge of AI to assist with routine tasks
Must be flexible to work evenings and weekends during special events
