The Texas Department Of Criminal Justice is seeking an Administrative Assistant IV for their Research and Planning department. The role involves providing and coordinating administrative support including preparing and editing reports, managing filing systems, and assisting in program planning and execution.
Government Administration
Responsibilities
Performs advanced technical assistance work for an agency program; prepares, interprets, and disseminates information concerning agency programs and procedures; and assists in the implementation of program planning
Coordinates the preparation, editing, and distribution of correspondence, reports, studies, forms, and other documents; and responds to inquiries regarding technical program and administrative rules, regulations, policies, and procedures
Participates in the planning and execution of an agency program; coordinates work with organizational units of the agency; and assists in analyzing and seeking solutions to problems
Develops and maintains filing, record keeping, and records management systems to include automated information systems; compiles and edits data for charts, graphs, and databases, makes calculations, and prepares administrative and statistical reports; and researches, composes, designs, and edits agency forms and reports
Researches, composes, designs, and edits agency publications, forms, manuals, and reports; and assists in the preparations of presentations
Performs a variety of marginal duties not listed, to be determined and assigned as needed
Qualification
Required
Graduation from an accredited senior high school or equivalent or GED
Three years full-time, wage-earning clerical, administrative support, technical program support, or program administration experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience
One year full-time, wage-earning accounting or numerical detail work experience
Knowledge of office practices and procedures
Knowledge of business terminology, spelling, punctuation, and grammar
Skill to communicate ideas and instructions clearly and concisely
Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public
Skill to interpret and apply rules, regulations, policies, and procedures
Skill in problem-solving techniques
Skill in the use of computers and related equipment in a stand-alone or local area network environment
Skill to prepare and maintain accurate records, files, and reports
Skill to review technical data and prepare technical reports
Skill in the electronic transmission of communications
Skill to make arithmetic calculations
Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs
Preferred
Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred
Skill to type 45 words per minute (with no more than 10 errors) preferred
