Responsibilities

Deliver exceptional customer service in alignment with company policies and values
Provide full-time phone coverage (shift determined by management)
Assess customer issues and determine appropriate resolution or escalation
Act as a customer advocate when investigating and resolving complaints
Collaborate with Finance, Product Distribution, and customers to resolve disputes
Recommend process improvements to prevent recurring issues
Stay current on industry trends and best practices
Participate in developing and maintaining departmental quality standards
Communicate effectively with team members and supervisors
Remain flexible to evolving customer needs and business requirements
Accurately process customer orders
Review inventory levels to determine order commitments
Monitor and follow up on order-related issues
Communicate order status with customer purchasing contacts
Ensure compliance with applicable laws, regulations, and programs
Serve as liaison between customers, third-party providers, and internal teams to process returns
Coordinate with Finance to ensure timely and accurate return credits
Ensure prompt turnaround of customer authorizations
Prepare quarterly reports on returns, sales, and order performance for management
Support sales initiatives and special programs
Participate in product launch activities to ensure successful outcomes
Support team decisions and respect diversity
Adapt to changing schedules and priorities
Work effectively in ambiguous or shifting situations
Actively participate in team initiatives, including Lean Daily Management

Qualification

Customer service experienceMicrosoft Office proficiencyERP system experienceHigh-volume call center experienceExcel skillsProactive mindsetMultitasking abilityDiscretion with informationTime managementCommunication skills

Required

Minimum 2 years of relevant experience in customer service or administration, preferably within pharmaceutical, biotechnology, or related industries
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access)
Excellent time management, organization, and communication skills
Ability to work in a highly regulated environment with strict policy compliance
Proactive mindset with strong initiative and continuous improvement focus
Proven ability to multitask and meet strict deadlines
High level of discretion when handling confidential and sensitive information

Preferred

BA/BS degree or 3 years of customer service/call center experience
Experience with high-volume customer service or call center systems
Strong Excel skills; experience with User Acceptance Testing (UAT)
ERP system experience (SAP preferred)
