Administrative Assistant

eTeam is seeking a temporary Administrative Assistant to support the National and Events Publicity team. This role involves assisting with day-to-day administrative functions, publicity coordination, and event logistics, requiring both in-office and out-of-office support.

Responsibilities

Assist the publicity team with booking travel for talent and filmmakers
Assist with booking event cars and airport transfers for talent, filmmakers, executives, and staff
Compile car and driver information and distribute to talent, filmmakers, executives, teams, and staff
Assist with booking airport greeters and coordinating details with car companies
Assist with booking hotels for talent and filmmakers
Build and update talent and filmmaker schedules
Monitor and track talent travel and troubleshoot schedule issues as needed (often requires weeknights and weekends)
Update documents as needed
Handle confidential information with discretion
Assist with invoice processing and setting up vendors in the company’s payment system
Assist with car coordination at events as needed
Assist the Events Team with updating venue documentation, screening holds, and event inquiries
Assist the Events Team with event logistics planning and hands-on event staffing (requires weeknights and weekends)
Assist the Events Team with maintaining awards seating documents and organizing award show details

Required

Minimum of 1 year of direct publicity experience as an intern or professional (agency, studio, or network)
Prior experience working on film publicity and awards campaigns
Working knowledge of specialty and independent films
Proficient in Microsoft Outlook, Word, Excel, and other Microsoft programs
Working knowledge of trends in the social media landscape
Excellent written and verbal communication skills
Ability to work both independently and as part of a team
Motivated self-starter comfortable in a fast-paced, dynamic environment
Skilled at multitasking
Reliable and resourceful
Personable, social, and enthusiastic
Detail-oriented and highly organized
Genuine love and affection for film and global pop culture

Preferred

Bachelor's Degree (degree in media, journalism, or communications preferred)
Experience in the entertainment industry
Experience working in a fast-paced, high-volume environment
