Customer Service Specialist 2 (Events and Althetics)
Bend Park & Recreation District is seeking a Customer Service Specialist to join their Events and Athletics team. The role involves managing reservations, assisting with special events, and providing varied customer service duties including reception and office assistance.

Responsibilities
Provides excellent customer service both externally and internally. Creates a positive experience for customers through professional and courteous behavior and effective problem resolution
Answers multi-line telephone and greets occasional patrons at the front desk, providing support for athletic programming, park and facility rental guidelines and reservation processes
Assist with preparation and communication regarding contractual and use agreements with external partners
Utilizing the district’s registration software to process reservations for district rentals and manage athletic program details
Understand and process financial transactions relevant to rentals and athletic programs, including reservations, registrations, refunds, and deposits
Provide program assistance for internal programming, including communication with coaches and parents, enrollment adjustments and updates, and scheduling assistance
Maintain inventory of rental and program needs, including certificates, supplies and equipment, first aid kits, and insurance documents
Provides various clerical duties such as data entry, word processing, filing, photocopying, printing facility use agreements, and roster management
Assist with internal and external schedule creation and management for events and athletics
Occasionally monitors program and rental sites and reports any damage or cleaning needs. Identifies and reports safety concerns promptly to the appropriate person(s)
Performs emergency support as directed in the emergency action plan
Acts as a Mandatory Reporter; reports incidents of child abuse/neglect
Communicates and reports safety concerns promptly to the appropriate person(s)
Performs other job-related duties as assigned
Qualification
Required
Must be a minimum of 16 years of age
High school diploma or currently attending school
Some previous related volunteer or work experience in customer service
Any satisfactory combination of education, experience and training
Strong Knowledge of customer service standards
Strong Knowledge of cashier and money handling procedures
Strong Knowledge of general office practices
Strong Knowledge of multi-line telephone systems
Strong Knowledge of basic math, spelling, English grammar
Skill and Ability to communicate effectively, tactfully, and professionally with the public and all contacts, including in person, by phone or e-mail
Skill and Ability to maintain focus and organize and prioritize own work with frequent interruptions and distractions
Skill and Ability to work independently while also able to work cooperatively with others
Skill and Ability to navigate difficult conversations or conversations with upset people while maintaining rapport
Skill and Ability to proficiently operate a variety of office equipment including computer, phone system, and copy machine
Skill and Ability to work effectively with frequent interruptions
Skill and Ability to demonstrate excellent multi-tasking skills
Skill and Ability to create a positive, constructive and respectful relationship with staff and the general public
Preferred
Bilingual in English and Spanish preferred
