Office Manager/Director of Operations
Confidential company is seeking an Office Manager/Director of Operations who can lead operations, guide teams, and support patients in understanding their treatment options. Responsibilities
Lead daily huddles and departmental meetings to align goals, reinforce standards, and assess progress
Coach, mentor, and develop team members to operate at a high level of accountability and professionalism
Address patient and team concerns with confidence, empathy, and solution-focused leadership
Foster a positive, energetic, and patient-focused culture that reflects the values of the practice
Oversee daily operations including scheduling flow, staffing coordination, payroll support, onboarding, and supply purchasing
Partner with financial leadership to monitor Accounts Receivable and operational trends
Track performance metrics, identify opportunities for improvement, and implement action plans
Ensure office systems, equipment, and technology are maintained and functioning efficiently
Serve as the primary point of contact for patients regarding recommended treatment plans
Clearly present treatment options, timelines, and financial arrangements in a way that is confident, compassionate, and easy to understand
Help patients move from uncertainty to clarity by addressing questions and removing barriers to care
Collaborate closely with the doctor and clinical team to ensure treatment recommendations are communicated consistently and effectively
Support scheduling strategies that convert diagnosed treatment into completed care
Lead the overall patient experience from first contact through treatment completion
Ensure patients feel informed, supported, and confident in their care decisions
Identify opportunities to improve patient flow, communication, and follow-through
Support sustainable growth by aligning operations, scheduling, and treatment coordination
Qualification
Required
Experience in office management, operations leadership, or patient-facing leadership roles
Strong organizational and time-management skills
Excellent verbal and written communication abilities
Comfort with technology, scheduling systems, and standard office software
High level of professionalism, discretion, and accountability
Coachable, performance-driven, and growth-oriented mindset
High school diploma or equivalent required
