Technical Writer and Document Manager
iT1, a leading national technology solution provider headquartered in Tempe, AZ, is looking for a skilled and experienced Technical Writer and Document Manager to join our Consulting team. This role is responsible for overseeing the lifecycle of organizational documents and the RFP process, ensuring their accuracy, accessibility, security, and compliance.
Responsibilities
Prepares, researches, and writes compliant, persuasive proposal text in the areas of qualifications, experience, staffing, system architecture, testing and resumes; collaborates on executive summaries or other sections
Conceptually understands the lifecycle of a solution or system to cohesively write responses in accordance with the requirements of the RFP with a focus on technical responses for technology solutions
Writes multiple proposals at any given time
Uses journalistic techniques to interview technical subject matter experts, research and gather pertinent information to integrate in proposal
Integrates strategic elements - win themes, key messaging - and solutions into proposal narrative producing cohesive, client-centric, compliant content
Assumes proposal management responsibilities on Requests for Information or Requests for Qualifications
Collaborates closely with the marketing team to regularly share material that can be repurposed for future repeatable use
Achieves a 100% on-time proposal response rate; stickler for meeting internal deadlines, champion of deadline adherence from Subject Matter Experts and other proposal inputs
Actively engages in all relevant meetings (kickoff, solution, status)
Reviews proposal sections as assigned and assists Production in proofreading/editing
Has operational, administrative, and technical knowledge of top-notch proposal writing
Takes on increasingly challenging technological and operational sections
Maintain a centralized document repository
Implement version control and archiving protocols
Ensure timely review, approval, and distribution of documents
Enforce document control policies aligned with legal and regulatory standards (e.g., ISO, HIPAA, GDPR)
Conduct periodic audits to ensure compliance and data integrity
Design and improve workflows for document creation, approval, and storage
Collaborate with IT and security teams to ensure system reliability and data protection
Train staff on document management systems and procedures
Respond to document-related inquiries and troubleshoot access issues
Administer document management software (e.g., SharePoint, DocuSign, M-Files)
Support digitization efforts including OCR and metadata tagging
Qualification
Required
Bachelor's degree in Business Administration, Information Management, or related field
3+ years of experience in document control or records management
Proficiency in Microsoft Office Suite and document management systems
Strong organizational and time management skills
Excellent attention to detail and problem-solving abilities
Creates a positive work environment, demonstrates a professional attitude, and meets established goals and responsibilities while working in cooperation with colleagues
Preferred
Familiarity with ISO standards and regulatory frameworks
Experience with project management methodologies
