Office Manager for the Division of Code Enforcement (DCE)
The NYC Department of Housing Preservation & Development is dedicated to promoting quality and affordability in housing across the city. As the Office Manager/Community Coordinator in the Division of Code Enforcement, you will oversee support staff and ensure compliance with housing codes to promote quality housing for New Yorkers.

Responsibilities
Supervises the performance of all support staff and ensures that administrative functions are performed in a timely fashion
Responsible for support staff time and leave requests; timesheet approval; and ensuring adequate coverage is on hand at all times
Ensures support staff compliance with the Department’s Code of Conduct and Time and Leave Manual and communicates with Timekeeping, Payroll and the Disciplinary Unit on related issues, when necessary
Handles and distributes incoming mail to appropriate staff for processing and/or response
Distributes work related to owner and tenant callbacks and monitors staff productivity
Monitors telephone call boxes to ensure calls are retrieved and returned in a timely manner
Monitors the safe log to ensure funds are deposited daily
Monitors staff responsible for Public Interviewing; Routing; Housing Litigation Division requests; Tenant Challenges; Notice of Violation Certifications; Dismissal Requests; Environmental Control Board Violations; Court requested inspections; Vacate Order processing and ensures that these functions are performed efficiently
Ensures that literature is ordered; maintained; and posted as necessary
Orders and distributes supplies as necessary
Monitors performance reports; meets with staff to discuss any deficiencies; and recommends changes to the Chief and Deputy Chief to improve performance outcomes
Ensures that files; records; and logs are maintained
Assists the Borough Chief and Deputy Chief with special projects, as necessary
Qualification
Required
A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
Education and/or experience which is equivalent to '1' or '2' above. However, all candidates must have at least one year of experience as described in '1' above
Preferred
Must possess excellent written and verbal communications skills
Must be proficient with PC software applications, such as Excel and Microsoft Word
Candidates with bi-lingual skills
Candidates may be assigned to any office within the 5 boroughs and may be assigned to work evenings and weekends
