Responsibilities
Run biweekly payroll for employees and contractors, including W-2 and 1099 processing
Manage state registrations, filings, and ongoing payroll compliance
Maintain W-9s, contractor records, and payroll documentation
Partner with outsourced payroll and compliance providers to ensure accuracy and timeliness
Issue customer invoices, track receivables, and follow up on outstanding payments
Review reconciled transactions in QuickBooks and bank accounts on a monthly basis
Track sales operations to determine when deals are closed
Calculate and process sales commissions accurately and on schedule using internal tools
Coordinate with outsourced accounting and payroll partners to support monthly close and reporting
Coordinate employee and contractor onboarding and offboarding, including contracts, system access, and equipment
Draft, maintain, and organize offer letters, NDAs, employment agreements, and internal policies
Track PTO and manage performance review logistics
Manage equipment ordering and logistics for a fully remote workforce
Organize and maintain company documentation, including contracts, policies, and internal wiki content
Manage DocuSign workflows, vendor setup, and document execution
Provision and deprovision user access across internal tools and systems
Qualification
Required
3-5 years in operations, admin, or finance ops at a startup or small company
Strong Excel / Google Sheets skills; comfortable with financial tracking
Highly organized; checklist-driven with strong follow-through
Comfortable working with outsourced finance, payroll, and legal partners
Proactive, responsive, and excellent at time management
Preferred
Experience with Gusto (or another payroll system), Quickbooks, G-suite, JAMF
Experience with Salesforce (or other CRM)
Experience in a high compliance environment
