Executive Assistant to Chief Executive Officer
Confidential company is seeking a highly organized and proactive Executive Assistant to support the CEO. This role involves managing schedules, coordinating meetings, and performing various administrative tasks to ensure smooth operations of the executive office while handling confidential information with discretion.

Responsibilities
Act as the point of contact among executives, employees, clients and other external partners representing the CEO and on occasion, Executive Management Team members
Handle confidential and sensitive information with integrity and confidentiality
Draft, review and send communication on behalf of the CEO
Screen and direct phone calls and distribute correspondence
Prioritize emails and respond when necessary
Manage information flow in a timely and accurate manner
Manage the CEO’s calendar and establish meetings (professional & personal) as necessary
Coordinate travel and accommodation arrangements
Act as a point of contact with the Executive Team for any current and/or potential clients representing the company in a professional manner
Prepare meeting agendas, materials, and presentations. Distribute relevant documents to meeting attendees in advance
Assist with the planning and execution of company events, meetings, and conferences. This includes coordinating logistics, managing RSVPs, and overseeing event details
Record minutes during meetings when necessary
Conducting personal errands, managing personal scheduling, travel, etc
Maintain organized electronic and physical filing systems for documents, records, and contacts
Assisting with the planning and coordination of personal events, such as parties and dinners
Oversee personal financial expenses
Responsible for complete billing operations of business entity, ensuring accurate invoicing and addressing any customer inquiries
Maintain and manage shared project tracking systems, agendas and action item logs
Partner with internal stakeholders to ensure alignment on goals, status updates, and follow ups
Support cross-functional initiatives and track key deliverables, timelines and outcomes
Qualification
Required
Proven experience as an Executive Assistant, Personal Assistant and Office Admin supporting senior leadership for 10+ years
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, SharePoint, Docusign, QuickBooks and in general tech-savvy
Excellent communication skills, including written/verbal and phone etiquette with a customer service-oriented mindset
