Responsibilities

Manage patient appointments, optimize scheduling, and ensure no conflicts
Oversee office staff, schedule shifts, and ensure proper training and performance
Manage office budgets, monitor expenses and income, and generate financial reports
Process payroll, track employee benefits, and ensure accurate compensation
Maintain accurate, up-to-date patient files and health histories
Address patient concerns, improve patient experience, and develop retention strategies
Oversee billing, submit insurance claims, track reimbursements, and handle payments
Ensure office compliance with healthcare regulations (e.g., HIPAA, safety protocols)
Order dental supplies, equipment, and office materials, and monitor stock levels
Ensure office cleanliness, organize supplies, and maintain equipment

Required

Demonstrated leadership or supervisory experience in a dental or medical environment
Strong understanding of patient scheduling, dental insurance, and revenue cycle basics
Familiarity with HIPAA/OSHA compliance requirements
Experience managing daily cash, end-of-day reconciliation, and bank deposits
Proficiency with dental practice management software (e.g., Dentrix Ascend or similar)
Comfortable using Microsoft Office 365, Teams, Visio, OneNote
Ability to operate tablets, smartphones, and general office/media equipment
Ability to work with databases and quickly learn new technical systems
Must have essential physical skills; be able to run, squat, stoop/bend, kneel, climb stairs, be able to lift at least 50 pounds (or ¼ of body weight)
Must have adequate vision, reading, writing, documentation skills and hearing required to perform the essential functions of the job
Must have enough endurance to perform tasks over long periods of time

Preferred

2–5 years of Dental Office Management experience preferred
Prior experience in a healthcare or DSO setting strongly preferred
Experience leading multi-provider teams and onboarding/training new hires is a plus
Formal leadership or management training is a plus
Familiarity with ADP, Workforce Now (WFN), and general payroll systems a plus
Knowledge of Jarvis Analytics or similar KPI/reporting tools is a plus
