Responsibilities
The County Administrative Assistant directs and coordinates activities associated with fiscal management, service delivery support management, and other administrative procedures. To supervise (2) Admin. Specialist IIs and report directly to the County Director on all Administrative functions. To act as Security Officer for the building & perform personnel matters; to include USERIDS, Vacancy Request with usage of NEOGOV system, complete New Hire Orientation and upload documents in the ONBASE system, maintain employee records, relations, actions and leave, To be responsible for all equipment & purchase of new equipment
Supervises and monitors Administrative Personnel (2) who are responsible for providing support to staff by ensuring that all administrative duties are completed timely and accurately. Implements agency policies and develops administrative procedures for all clerical support of social services programs & activities. Supervises & monitors retention control, transfer and destruction of records. Initiates transfer of records to Central Records Depository. Serves as backup receptionist and registrar in the absence of administrative personnel. Serves as switchboard operator along with other clerical staff. Serves as Economic Services Advocate Assistant
Act as Human Resources Liaison for the county office: Duties include but not limited to: Onbase- upload initial documents for New Hire & start a workflow and complete process from beginning to end; complete new hire orientation; assist staff with workers compensation request and coordinate with state office; assist staff with filing of FMLA and coordinate with state office; Maintain personnel files for county office; Ensure that position descriptions are kept up to date. Other human resources liaison duties as deemed necessary by county director and State Office HR. Complete & update EPMS for each employee. Ensure that they are sent via OnBase in a timely manner
Responsible for coordinating the preparation, maintenance and execution of all fiscal records & operations, develops budget requests & monitors compliance with approved budgets for the county office. Monitors and/or assume responsibility for the following activities: equipment procurement, maintenance of data management of SNAP & TANF recoupment. Compiles & prepares requisitions for supplies, stocks, disburses and maintains appropriate inventory control for the county office
Assists County Director with special administrative assignments as needed to include internal audits, civil rights review, DSNAP Plan, county annual report, staff meetings, employee relations, etc. Attends meetings/trainings on matters concerning business management and/or economic services policy implementation and ensure implementation on the county level. Works as a team member with the county director & other managers to ensure the effectiveness & efficiency of the county office as we represent & further the agency’s mission, visions and goals. Assist Economic Services Supervisor as needed
Monitors maintenance of facility, equipment, directs & requests necessary repairs, upkeep & security of the office
Performs job delivery and/or performance with positive/ appropriate customer service delivery to clients, the public and co-workers as an integral requirement
Promotes and maintain positive agency communications with local service providers, law enforcement, county personnel, state office, contract providers, vendors, other DSS county offices & community partners
Performs emergency welfare services to include American Red Cross Sheltering and Disaster SNAP services as directed; performs other related duties as required
Qualification
Required
A High School Diploma and work experience that is directly related to the area of employment
A Bachelor's Degree may be substituted for the related work experience
Must have a drivers license
Ability to access 4/5 drawer file cabinets and/or various filing systems
Ability to enter information into computer
Ability to lift up to 30 pounds
Able to type 35 wpm
