Management Intern (Part-Time)

The City of Bellflower is seeking a part-time Management Intern to gain valuable experience within the City Manager’s Office. This position involves providing professional-level assistance, including analytical and technical research work, while working flexible hours that accommodate graduate school schedules.

Responsibilities

Perform a wide variety of specialized administrative,and technical office support duties to support departmental operations, including filing, preparing records and monthly reports, creating project files, updating department websites, issuing permits, and/or preparing and processing invoices
Prepares and processes reports, forms, applications, and records such as requests for payments, purchase orders, invoices, work orders, business license applications, and permit applications
Maintains accurate and detailed records, verifies accuracy of information, researches discrepancies, and records information
Verifies and reviews forms and reports for completeness and conformance with established regulations and procedures; applies departmental and program policies and procedures in determining completeness of applications, records, and files
Prepares, copies, collates, and distributes a variety of documents, including agendas, bid packages, contracts, informational packets, and specifications; ensures proper filing of copies in departmental or central files
Composes, types, formats, and proofreads a wide variety of reports, letters, documents, flyers, brochures, calendars, and memoranda; checks drafts for punctuation, spelling, and grammar; suggests corrections
Compiles information and data for administrative, statistical, and financial reports; checks data; prepares and assembles reports, manuals, articles, announcements, and other informational materials
Maintains and updates departmental record systems and specialized databases; enters and updates information with departmental activity and report summaries; retrieves information from systems and specialized databases as required
Gathers, assembles, updates, and distributes a variety of department or City specific information, forms, records, and data as requested
Screens calls and visitors; serves as back-up to reception/front counter; greets visitors at front counter and directs them to appropriate locations and/or staff; responds to complaints and requests for information; assists in interpreting and applying regulations, policies, procedures, rules, and precedents in response to inquiries and complaints from the public; directs callers to appropriate City staff
Coordinates department services and activities with other City departments and outside agencies
Receives, opens, sorts, and routes incoming mail and packages; routes facsimile documents received to appropriate staff; logs and arranges pick-up of outgoing packages
Performs cashiering duties; calculates fees; receives money and issues receipts; collects and accounts for service fees
Monitors and orders office and other related supplies; prepares, processes, and tracks purchase requisitions for services and materials; receives vendor invoices; prepares requests for payment for department head approval
Performs other duties as assigned

Required

Possession of a Bachelor's Degree from an accredited university with major coursework in a field related to the position and current enrollment in a related, accredited Master's degree program is required
Preferred majors include Public Administration or Business Administration or a related field
Must possess mobility to work in a standard office setting and use standard office equipment, including a computer, to operate a motor vehicle, and to visit various City and meeting sites
Vision to read printed materials and a computer screen
Hearing and speech to communicate in person, before groups, and over the telephone
Ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds
A copy of your current graduate school transcripts showing proof of current enrollment in an accredited graduate program must be submitted along with your application
A cover letter is required for this position

A valid California Class C driver license and evidence of insurance
