Imaging Records Specialist

Responsibilities
Maintains utmost level of confidentiality at all times

Following standard protocol, routinely cleans and inspects imaging plates and cassettes
Maintains a log of each cleaning and documents the current condition of imaging plate
Performs Patient Access functions during lunch and other breaks as required
Assist Patient Access staff in scheduling exams and answering phones as required
Establishes and maintains good working relationships with patients/families, physicians, physician offices, management, visitors and other members of the health care team through responsiveness, accuracy of information and professionalism
Answers telephone inquiries in a professional manner
Readily contributes to a team approach
Shows patience, empathy and understanding in dealing with patients/families and coworkers
Assesses and responds to individual patient/family needs
Coordinates the activities of section with other areas of the facility
Communicates with management and others in a prompt and professional manner
Reports to work on time and strives to minimize non-productive time
Following Protected Health Information (PHI) guidelines, responsible for the preparation and release of imaging records to clinics, physicians, patient families, other healthcare facilities, record companies, and attorneys
Assures the accurate duplication of imaging studies using computer-based film digitizer and CD Bunder an/or duplicates hard copy film for release to requesting entities
Accurately documents all releases and forwards appropriate documentation to HIM for inclusion in medical record
Enters and racks all imaging studies received and/or released and ensures their timely return
Request imaging studies from other facilities
Ensure films from other facilities have bee requested, properly signed in and distributed to requesting radiologist, physician, or clinic
Ensure any films received from other facilities are returned within 3-4 weeks
Using RadWorks, software and film digitizer, accurately digitize hard copy films into electronic form and routes images to correct electronic patient imaging file
Ensures all documentation is complete
Prints out clinic schedules for local and satellite clinics and ensures all studies are available for the various clinics
Assists referring physicians, nurses and other health care providers in viewing and manipulating electronic images and reports
Records loans of films and/or duplicate images into the RIS and follows up on film returns, enters film loans and returns into RIS
Verifies MR number with HIM department as needed
Performs film purge according to legal and departmental retention policy
Using established criteria for release of PHI, faxes imaging reports to requesting health care providers and physician offices
Sorts and mails imaging reports to appropriate referring and consulting physicians
Qualification
Required
High School diploma or general education degree (GED)
One year experience in office or in customer service environment required
Basic computer knowledge required
Ability to type 45 wpm
CPR certification (can be provided)
Accuracy and legibility of work extremely important
Ability to handle multiple tasks simultaneously is needed to be successful
Preferred
At least one year experience in a health care setting preferred
Medical terminology certification a plus (available as training)
