Responsibilities
Serve as a primary point of contact for client inquiries via phone and email
Manage the firm’s general inquiry inbox and ensure timely, professional responses
Assist clients with routine requests including documentation, account questions, scheduling, and digital tool navigation
Maintain clear, empathetic, and professional communication with clients and internal team members
Support account openings, transfers, and custodial paperwork with accuracy and attention to detail
Follow established workflows and processes to ensure timely completion of service items
Track outstanding tasks and follow up to resolution
Coordinate with custodians and internal teams to address account or paperwork issues
Create and maintain tasks and notes in the firm’s CRM to support workflow integrity
Assist with document management, digital filing, and internal communications
Support operational improvements, documentation updates, and efficiency initiatives
Qualification
Required
Strong written and verbal communication skills with a client-first mindset
High attention to detail and commitment to accuracy
Ability to manage multiple tasks and priorities in a structured environment
Comfortable working independently while collaborating closely with a small team
General interest or foundational knowledge in financial planning or wealth management
Proficiency with technology and willingness to learn new systems and tools
Commitment to confidentiality, ethics, and professional standards
2+ years of experience in the financial services industry
Outstanding communication and customer support abilities
Preferred
Experience with RIA and/or broker-dealer operations
