Responsibilities
Manages and oversees the daily operations to ensure the department or college run efficiently by optimizing workflows, improving processes, and coordinating with university stakeholders to achieve departmental/college goals using initiative and significant independent judgement
Collaborates with People Excellence and provides support for human resources related tasks such as recruitment and onboarding and ensures employee's data is submitted into PeopleSoft accurately and on schedule. Adheres to deadlines set forth by university stakeholders
Serves as the department or college liaison and coordinates the flow of information to enhance employees awareness and engagement through robust communication channels
Coordinates and supports departmental/college projects by serving as the administrative point of contact, tracks project timeline and expenditures, verify the accuracy of documentation, and facilitate communication to ensure timely completion within established parameters
Supervises administrative and support staff; provides guidance on complex issues and oversees employee development through training and performance reviews. Ensures employees adhere to deadlines and proper procedures
Manages fiscal activities such as account reconciliation, cost analysis, and budget planning for the department/college. Monitors office expenses, processes invoices, and prepares financial reports in coordination with the finance department
Coordinates and manages schedules and calendars, organizes meetings, appointments, and travel arrangements for senior staff
Prepares and edits reports, presentations, and other documentation for senior staff to ensure high-quality, accurate, and professional materials for executive review and decision-making
Performs other duties as assigned
Qualification
Required
High School diploma or equivalent
Five (5) years of related work experience
This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure
