Academic Department Administrative Assistant
Winchester Thurston School is seeking an Academic Department Administrative Assistant to provide key administrative and clerical support for the Academic Department. The role involves coordinating calendars, managing professional development processes, planning events, and supporting communication between administration, faculty, students, and parents.

Responsibilities
Coordinate and maintain the Assistant Head’s calendars including scheduling meetings,classroom observations, and other events
Coordinate processes related to employee professional development, including processing professional development requests and reflection forms, reviewing invoices and monitoring budgets, assisting with registration, and overseeing related documentation and data tracking
Provide event planning and hands-on logistical support for Academic Department special events, programming, professional development opportunities, including but not limited to, reserving space, coordinating technology needs, processing catering requests, managing budgets, coordinating speakers and vendors, etc
Provide administrative support to the Director of Equity, Inclusion and Wellness, as requested
Schedule testing, evaluations and other events, as needed, for the Director of Support Services, including communicating and coordinating with parents and external partners
Process paperwork and documentation needed for student evaluations and other support services
Support the New Employee Mentor program including processing applications, managing correspondence with new employees and mentors, and monitoring of activities; coordinate the scheduling of New Employee events
Support the Assistant Head for Teaching and Learning in coordinating the faculty interview and hiring process
Build, maintain, and communicate employment opportunities to a database of contacts for recruitment, in collaboration with the Assistant Head for Teaching and Learning and Human Resources Office
Coordinate communication needs of the Academic Department such as maintaining the MyWT faculty group page by updating the calendar, providing resources, writing blog posts, compiling and sending out WT Teach, and sending other regular email updates
Assist in the development, coordination, and communication of the academic calendar including faculty meetings, DEI programming, City as Our Campus, and other events
Maintain organized records necessary for the effective operation of the Academic Department
Serve as primary contact to coordinate requests and purchasing for the Title IIA and Title IV funds through the Pittsburgh/Mount Oliver Intermediate Unit and Pittsburgh Public Schools
Assist with maintaining budgets, invoicing, and purchasing of supplies/materials for the Academic Department, as needed
Support communication between administration, faculty, students, and parents
Perform other duties as assigned
Qualification
Required
Bachelor's degree or equivalent combination of education and experience
3-5 Years of experience in providing administrative support, preferably in a school setting
Excellent interpersonal, communication, organizational and planning skills
The ability to exercise discretion and handle confidential information
The ability to work in a fast-paced environment and affectively manage multiple priorities and deadlines
Google Suite proficiency
Preferred
Knowledge of academic affairs and Equity and Inclusion issues is preferred
