Executive Assistant
IS3 Solutions is seeking a highly experienced Executive Assistant to support their President & Chief Executive Officer in a fast-paced distribution and logistics environment. This role involves managing executive communications, anticipating needs, and maintaining a dynamic workflow while thriving under pressure.

Responsibilities
Manage high volumes of executive communications (email, messaging, task requests) with precision and discretion
Anticipate executive needs by proactively preparing materials, reminders, and context
Maintain and continuously adjust a complex, fast-moving calendar in real time
Translate fragmented or evolving information into clear priorities and actionable next steps
Design and implement systems, templates, and checklists to streamline executive operations
Serve as a professional representative and gatekeeper for the CEO with internal teams, clients, and external partners
Draft, edit, and proof executive-level communications, correspondence, and briefings
Track delegated tasks and close open loops to ensure timely execution
Maintain accurate records of meetings, decisions, and follow-ups to establish a reliable source of truth
Own task pipelines and follow-up processes using ClickUp as the central project management system
Attend executive and strategy meetings; capture decisions, next steps, and accountability
Identify risks, bottlenecks, and dependencies before they impact timelines or outcomes
Coordinate domestic travel, including itineraries, accommodations, and real-time changes
Prepare comprehensive briefings ahead of travel and develop contingency plans for disruptions
Qualification
Required
3–5+ years of experience supporting a CEO, founder, or senior C-suite executive
Demonstrated success in fast-paced, high-pressure, and constantly evolving environments
Advanced proficiency with Microsoft Office (Outlook, Teams, Excel, Word)
Hands-on, daily experience with Click Up for task, priority, and project management
Exceptional written and verbal communication skills; able to draft confidently on behalf of an executive
Strong ability to synthesize complex, incomplete, or rapidly changing information
Proven autonomy, sound judgment, and accountability with minimal direction
Flexible Availability: Able to support variable schedules, including occasional evenings or weekends
Preferred
Experience supporting highly dynamic or neurodiverse executives
Familiarity with CRM platforms such as Salesforce or HubSpot
Background in distribution, logistics, or manufacturing environments
Comfort managing relationships with senior-level clients, vendors, and partners
